Key Responsibilities
1. Task Management & Follow-Up
Maintain a daily Task & Follow-Up Tracker for the MD.
Record tasks delegated to employees and ensure completion within committed timelines.
Follow up with team members regularly and provide status updates to the MD.
Take a clear date and time commitment for every assigned task.
Escalate delays, problems, or pending tasks to the MD.
Ensure that important tasks do not get forgotten or delayed.
2. Coordination with Team
Coordinate with sales, accounts, operations, housekeeping, and other departments on behalf of the MD.
Communicate the MD's instructions clearly and professionally.
Follow up with senior employees and ensure tasks assigned by the MD are executed.
Maintain authority and professionalism while coordinating with different levels of staff.
Act as the communication bridge between the MD and the team.
3. Calendar, Meetings & Communication
Manage the MD's calendar, appointments and meetings.
Coordinate meetings and ensure all required people are informed.
Manage incoming calls, emails and important messages.
Draft professional emails, letters, WhatsApp messages and other communication on behalf of the MD.
Track important conversations and ensure necessary follow-ups happen.
4. Email & Documentation
Manage and organise the MD's email inbox.
Identify important, urgent and routine emails.
Draft responses where required.
Maintain important documents, records and follow-up lists.
Prepare basic reports, summaries and presentations when required.
5. Research & Information
Conduct online research as instructed by the MD.
Collect information from reliable sources and prepare concise summaries.
Compare options, prices, vendors, services or other information when required.
Present researched information in a simple and organised manner.
6. Personal & Confidential Tasks
Handle certain personal and confidential assignments of the MD.
Coordinate personal appointments, bookings, travel arrangements, reservations, etc.
Handle sensitive information with complete confidentiality.
Ensure personal tasks assigned by the MD are completed efficiently and discreetly.
7. Daily Planning
Meet with the MD regularly to understand priorities and pending matters.
Prepare a daily task list for the MD and relevant team members.
Maintain a running list of pending tasks and commitments.
Ensure the MD is updated on what is completed, what is pending and what needs attention.

The candidate must be exceptionally good at following up. They should be able to manage a large number of tasks simultaneously without losing track of anything.

Strong knowledge of MS Excel and MS Word.
Familiarity with Outlook/Gmail.
Basic knowledge of Google Workspace.
Ability to maintain spreadsheets and trackers.
Knowledge of Excel functions such as VLOOKUP/XLOOKUP, Pivot Tables and linking sheets is an advantage.
6. Research Skills
Good Google/search skills.
Ability to quickly find, evaluate and organise information.

Extremely trustworthy and honest.
Able to handle confidential business and personal information.
Should maintain complete discretion.
