Key Responsibilities

1. Inbound & Outbound Communication

• Respond promptly and professionally to inbound calls, WhatsApp messages, emails, and social media leads regarding clinic treatments and services.

• Make outbound calls to follow up on web leads, consultation requests, abandoned bookings, and special promotional campaigns.

• Educate prospective patients on offered services, including skin treatments, laser therapies, injectable procedures, anti-aging solutions, and hair restoration.

2. Appointment Booking & Conversion

• Drive conversion by converting phone and digital inquiries into booked, paid consultations and treatments.

• Manage doctor and practitioner schedules using the clinic management software to ensure optimal booking density.

• Send automated and personalized booking confirmations, prep-instructions, and reminder calls/messages to minimize no-show rates.

3. Patient Relationship & Experience Management

• Provide personalized, compassionate service by understanding patients' aesthetic concerns and guiding them toward appropriate consultation categories.

• Handle initial patient complaints or inquiries with empathy and tact, escalating complex clinical concerns to the Senior Doctor or Medical Director.

• Execute structured post-procedure call protocols to check on patient recovery and gather satisfaction feedback.

4. Sales Support & Recall Campaigns

• Cross-sell and upsell relevant clinic packages, membership schemes, and post-care skincare product ranges during client interactions.

• Manage the patient recall database to re-engage inactive clients, schedule maintenance sessions, and promote seasonal aesthetic offers.
