We are seeking a detail-oriented and analytical Tender & Billing Executive with specialized experience in interior design and fit-out projects. In this role, you will be responsible for end-to-end tendering process management, cost Estimation, Bill of Quantities (BOQ) preparation, contractor billing verification, and final client settlement.
The ideal candidate bridges the gap between project design, cost control, and financial operations to ensure projects remain profitable, on budget, and fully compliant with project scope.
Key Responsibilities
1. Tendering & Bidding
Prepare, review, and evaluate tender documents, Request for Proposals (RFPs), and technical specifications for commercial, residential, or hospitality interior projects.
Prepare detailed Bill of Quantities (BOQ), Cost Estimates, and rate analysis based on interior architectural drawings and site specs.
Solicit and analyze vendor, supplier, and subcontractor quotations to prepare accurate pricing matrices.
Assist in bid submissions, contract negotiations, and final award evaluations.
2. Client & Contractor Billing
Prepare monthly running account (RA) bills for clients based on actual site progress and approved variation orders.
Measure, verify, and certify site progress and vendor/subcontractor bills (civil, MEP, woodwork, loose furniture, finishes, soft furnishings).
Track site variations, extra items, and scope changes; prepare extra-item rate analysis and get timely approvals from client project management consultants (PMC).
Ensure accurate reconciliation of materials (wood, tiles, hardware, paint, fabrics, etc.) against issued stock and BOQ.
3. Cost Control & Final Accounts
Monitor project budget vs. actual expenditure to flag potential cost overruns early.
Prepare joint measurement sheets (JMS) with site engineers and client representatives.
Finalize vendor and client final bills, including retention money release, bank guarantees, and defect liability period (DLP) closures.
Requirements & Qualifications
Education: Diploma / B.Tech in Civil Engineering or Equivelent, Quantity Surveying, Interior Design, or Construction Management.
Experience: 1-3 years of core experience in tendering, costing, and billing specifically within interior design, turn-key fit-out, or interior contracting firms.
Software Proficiency:
Advanced MS Excel (VLOOKUP, Pivot Tables, financial formulas)
AutoCAD (Must be able to read drawings, measure scale, and derive quantities)
ERP / Costing Software (e.g., MS Projects, SAP, Candy, or custom interior ERPs is a plus)
Skills: Strong rate analysis skills across interior trades (carpentry, MEP, ceiling, flooring, wall finishes), vendor negotiation, sound knowledge of contract clauses, and high attention to detail.
