1. Job Objective

To prepare accurate and competitive quotations for HEPA filters, HVAC air filters, and cleanroom filtration products by evaluating customer inquiries, interpreting technical specifications, calculating material requirements and costing, and coordinating with production, purchase, and sales teams.

2. Key Responsibilities

A. Quotation Preparation

• Prepare quotations for Conventional HEPA, Minipleat HEPA, Deep Pleat HEPA, Gel Seal HEPA, Super HEPA, and other air filtration products.

• Prepare quotations for Pre Filters, Fine Filters, and other HVAC filtration products as required.

• Review customer inquiries, BOQs, drawings, specifications, and purchase requirements.

• Calculate product pricing based on dimensions, filter media, frame material, depth, pleat configuration, gasket, sealant, and other components.

• Prepare commercial quotations with delivery timelines, GST, freight, payment terms, and validity.

• Ensure quotations are accurate, commercially competitive, and submitted within the specified timeline.
  

B. Technical Understanding

• Understand Box Type and Flange Type filter configurations.

• Interpret filter dimensions, including width, height, and depth.

• Understand HEPA grades such as H13 and H14, efficiency requirements, and applicable EN 1822 / ISO 29463 standards.

• Understand initial and final pressure drop, airflow capacity, face velocity, and media selection.

• Identify technical discrepancies and seek clarification before finalizing quotations.

• Coordinate with the technical team for special sizes, non-standard configurations, and customized requirements.
  

C. Costing and Estimation

• Calculate material consumption for filter media, frames, separators, PU sealant, gaskets, adhesives, and packaging.

• Prepare product-wise costing sheets and maintain standard costing formats.

• Calculate manufacturing costs, overheads, wastage, freight, and target profit margins.

• Compare estimated costs against actual production costs to improve estimation accuracy.

• Identify cost-saving opportunities without compromising product quality or specified performance.
  

D. Inquiry Management and Coordination

• Maintain an inquiry and quotation register in Excel or the company's CRM.

• Coordinate with sales engineers for missing technical details and customer clarifications.

• Coordinate with production and purchase teams regarding material availability, lead times, and manufacturing feasibility.

• Follow up on submitted quotations and assist the sales team with revisions and technical clarifications.

• Maintain records of quotations, revisions, customer specifications, and order conversions.
  

3. Required Technical Skills

• Knowledge of HEPA filters, HVAC filters, and cleanroom filtration products.

• Working knowledge of Microsoft Excel, including formulas, costing sheets, and lookup functions.

• Ability to read technical drawings, dimensions, BOQs, and specifications.

• Understanding of manufacturing processes and bill of materials (BOM).

• Good numerical, analytical, and documentation skills.

• Attention to detail and the ability to handle multiple inquiries simultaneously.
  

4. Educational Qualification

• Diploma or Bachelor's degree in Mechanical Engineering, Production Engineering, Industrial Engineering, or a related technical discipline.

• Candidates with relevant experience in air filtration, HVAC, cleanroom equipment, sheet metal, or industrial manufacturing will be preferred.
  

5. Performance Indicators (KPIs)

• Accuracy of quotations and costing.

• Turnaround time for quotation submission.

• Number of quotations prepared per day or week.

• Quotation-to-order conversion support.

• Compliance with company pricing and approval policies.

• Accuracy of material consumption and estimated manufacturing costs.

• Timely maintenance of quotation records and follow-up status.
  

6. Reporting Structure

The Estimation Engineer will report to the Sales Manager / Management and coordinate closely with Sales, Production, Purchase, and Quality departments.
