About the Role:- We are seeking a talented Admin Executive to join our growing team! This role will be responsible for manages day-to-day office operations, acting as the operational backbone by handling correspondence, scheduling, record-keeping, and vendor management. Key duties include organizing meetings, managing files, and improving administrative efficiency.
Key Responsibility Areas (KRAs) Detailed:-
1) Office Operations & Administration: Managing day-to-day office activities, Ensuring a clean, safe, and functional working environment.
2) Procurement & Vendor Management: Overseeing inventory of office supplies (stationery, pantry), handling procurement, and maintaining vendor relationships to ensure timely delivery and quality.
3) Records Management & Documentation: Maintaining accurate records for company documents, contracts, employee records, and administrative files, including digital data entry.
4) Logistics & Event Coordination: Arranging meetings, conferences, and company events, including logistics, catering, and agenda preparation.
5) Facilities Management: Coordinating maintenance of office equipment, repairs, security services, and liaising with building management.
6) Front Desk & Communication: Managing reception, welcoming visitors/clients, and handling phone/email communication.
Key Skills for Admin Executives:-
1) Organizational & Time Management: Ability to manage multiple tasks, prioritize, and meet deadlines, including managing calendars and scheduling meetings.
2) Technical Proficiency: Advanced knowledge of Microsoft Office Suite (Pivot tables, VLOOKUPs, PowerPoint) and Google Workspace (Docs, Sheets).
3) Communication: Exceptional verbal and written communication for liaising with teams, vendors, and leadership.
4) Attention to Detail: High accuracy in managing records, handling documents, and maintaining databases.
5) Problem-Solving & Adaptability: Ability to handle unexpected issues, such as facility management issues or changing schedules, with a proactive approach.
6) Confidentiality: Maintaining discretion in handling sensitive company or personnel information.
Required Qualifications :-
1) Experience: Proven experience (usually 2–4 years) as an Administrative Executive, Admin Officer, or similar role.
2) Education: A Bachelor's degree in Business Administration or a related field is often preferred, though a high school diploma with substantial experience is accepted.
3) Software Skills: Proficiency with office software, including Microsoft Office and Google Workspace, is essential.
