Sales Coordination Executive – Roles & Responsibilities
Coordinate with the Sales Team to process customer inquiries, quotations, and orders.
Prepare quotations, Proforma Invoices (PI), and Sales Orders (SO) in the ERP system.
Review customer purchase orders and ensure all commercial and technical details are accurate before order processing.
Coordinate with PPIC, Production, Prepress, Design, Procurement, and Dispatch teams for smooth order execution.
Monitor order progress and ensure timely delivery as per customer commitments.
Share order status, dispatch schedules, and delivery updates with customers and the sales team.
Follow up with customers regarding artwork approvals, specifications, purchase orders, and other required documents.
Maintain customer master data, price lists, and sales records in the ERP.
Coordinate for development samples, mock-ups, trial orders, and new product launches.
Ensure customer specifications, product dimensions, printing details, and packaging requirements are communicated accurately to internal departments.
Prepare daily, weekly, and monthly sales reports, pending order reports, dispatch reports, and MIS.
Coordinate with Accounts for payment follow-ups, credit limits, and customer account reconciliation whenever required.
Resolve order-related issues by coordinating with Quality, Production, and Dispatch teams.
Track pending orders and proactively follow up to avoid delays.
Maintain proper documentation of customer communications, quotations, agreements, and approvals.
Support Key Account Managers and Sales Managers in customer servicing activities.
Coordinate with logistics partners for dispatch planning and delivery status.
Ensure compliance with company SOPs, quality standards, and customer requirements.
Assist during customer audits, plant visits, and business review meetings.
Maintain confidentiality of customer pricing, business information, and company data.
Perform any additional responsibilities assigned by the Reporting Manager.
