The Executive Assistant to the Director provides high-level administrative, organizational, and coordination support to ensure the smooth and efficient functioning of the Director’s office. The role requires handling confidential information, managing communications, coordinating meetings and travel, preparing reports, and supporting day-to-day executive and business operations with professionalism and discretion.
Manage and maintain the Director’s calendar, schedule appointments, and coordinate meetings effectively.
Handle all incoming and outgoing correspondence including emails, phone calls, letters, and official documentation.
Draft, prepare, and format reports, presentations, spreadsheets, and business documents with high accuracy.
Maintain organized filing systems (digital and physical) while ensuring confidentiality of sensitive information.
Act as a key point of contact between the Director and internal teams, clients, vendors, and external stakeholders.
Ensure timely communication, follow-ups, and closure of assigned tasks and pending matters.
Coordinate with various departments to support smooth decision-making and workflow management.
Plan and organize meetings including agenda preparation, minute-taking, and tracking action items.
Coordinate domestic travel arrangements including itineraries, tickets, accommodation, and logistics.
Assist in reviewing business reports, proposals, presentations, and documents before final submission.
Support the Director in tracking project progress, deadlines, and key deliverables.
Conduct basic market, competitor, or business research as required.
Handle confidential and sensitive information with the highest level of discretion and integrity.
Manage expense statements, bills, and reimbursements related to the Director’s office.
Perform additional administrative or strategic support tasks as assigned by the Director.
Excellent verbal and written communication skills.
Strong organizational, multitasking, and time-management abilities.
Expert-level proficiency in MS Excel (reports, data handling, formulas, tracking).
Proficiency in MS Word, PowerPoint, and Outlook.
Fast and accurate typing skills.
High level of discretion, professionalism, and attention to detail.
Ability to work independently, prioritize tasks, and meet deadlines.
Problem-solving mindset with a proactive approach.
Bachelor’s degree in Business Administration or a related field (MBA preferred).
0–2 years of experience as an Executive Assistant, Personal Assistant, or similar role in a corporate environment.
Experience handling confidential correspondence and executive-level coordination is preferred.
