The Camp Co-Ordinator is responsible for planning, organising, and managing all outreach eye camps. The role ensures smooth coordination between hospital staff, community partners, patients, and local organisers to conduct effective screening and surgical camps.
Coordinate with NGOs, schools, companies, Gram Panchayats, and local organisers for camp scheduling.
Conduct pre-camp visits to assess location, crowd flow, and basic arrangements.
Ensure required permissions and approvals for conducting camps.
Communicate camp details to marketing / outreach teams.
Arrange camp materials: registration forms, banners, vision charts, equipment list, consent forms, etc.
Coordinate transport for staff and instruments whenever required.
Ensure seating arrangement, power supply, cleanliness, and crowd management at the camp site.
Guide staff (optometrists, counsellors, helpers) on camp flow and responsibilities.
Monitor registration, vision screening, doctor consultation, counselling, and referral process.
Maintain discipline, queue management, and smooth flow for patients.
Address issues immediately and ensure proper camp execution.
Support counsellors to motivate patients for surgery or follow-up visits.
Ensure accurate documentation of advised surgeries, referrals, and spectacles.
Guide patients regarding transport to the base hospital, if applicable.
Coordinate with OT, IPD, OPD, and transport teams for surgery cases coming from the camp.
Inform hospital about expected patient load for the next day.
Ensure proper handover of camp-related forms and data to the admin/HR/outreach head.
Maintain camp data:
Number of patients screened
Number advised for surgery
Number accepted
Spectacle and referral data
Reasons for non-acceptance
Submit daily/weekly camp reports to management.
Maintain follow-up lists and ensure follow-up visits are conducted on time.
