• Send and manage professional email campaigns to prospects and existing clients; handle WhatsApp-based outreach and maintain a tracker of all outreach activities and responses
• Manage and upload content across social media platforms — LinkedIn, Facebook, Instagram, and WhatsApp Business — including posts, updates, project showcases, and company announcements; maintain a consistent posting schedule and monitor basic engagement
• Make cold calls exclusively to existing and prospective clients for the purpose of scheduling meetings with our CEO or Design Engineer — confirming appointment details and following up to remind or reschedule as needed
• Coordinate internally with the CEO and Design Engineer on their availability before booking any client meetings and maintain an up-to-date meeting log
• Handle travel bookings for the team and management — including flights, trains, hotels, and local transport — ensuring cost-effective options, timely confirmations, and well-organised travel itineraries
• Handle day-to-day office coordination, documentation, data entry, filing, and record management
• Manage incoming and outgoing correspondence — emails, calls, and couriers — and support the team with scheduling, calendar management, and preparation of reports and presentations
• Act as a point of contact for client queries and relay information accurately between cross-functional
teams including design, project, and accounts
• Support project managers and senior staff with client-facing documentation, updates, and meeting preparation
• Assist in raising invoices, following up on outstanding payments, recording petty cash entries, and maintaining basic expense logs in coordination with the accounts team
• Work proficiently on MS Office (Word, Excel, PowerPoint, Outlook) and use Advanced Excel — formulas,
VLOOKUP, pivot tables — for data management and MIS reporting
• Use AI tools such as ChatGPT, Copilot, or similar platforms for drafting emails, reports, and content; stay updated with latest software relevant to office work
• Maintain digital trackers, databases, and cloud-based records to ensure information is always accurate and accessible
