Job Profile – Billing Executive (Surgical Wholesale Distribution)

Location: Nashik

Job Summary

We are looking for a smart, confident, and responsible Billing Executive for our Surgical Wholesale Distribution business. The candidate should have good knowledge of surgical products, billing, customer handling, and order processing. The role requires accuracy, product knowledge, excellent communication, and the ability to handle customers over the phone.

Key Responsibilities

Order Processing & Customer Handling

- Receive customer orders over phone, WhatsApp, and email.

- Understand the exact product requirement of the customer.

- Suggest suitable alternative products whenever required.

- Inform customers about product availability, MRP, net rates, and pack sizes.

- Communicate professionally with hospitals, dealers, and retailers.

Billing & Documentation

- Prepare Sales Invoices accurately using billing software.

- Generate Credit Notes and Debit Notes whenever required.

- Process replacement, expiry, and return transactions.

- Ensure GST compliance while preparing invoices.

- Verify customer details before billing.

Product Knowledge

- Good knowledge of Surgical, OT, ICU, Orthopaedic, Urology, Anesthesia and Medical Disposable products.

- Ability to identify products by brand name, company, code number, and specifications.

- Knowledge of substitute/alternative products from different companies.

Pricing & Commercial Knowledge

- Knowledge of wholesale billing practices.

- Follow company-wise and customer-wise approved price lists.

- Understand and follow Rate Contracts (RC Rates).

- Check customer-specific pricing before billing.

- Knowledge of PTS, PTR, MRP, trade margins, and margin calculations.

- Verify billing margins before invoice generation.

Inventory Coordination

- Check stock availability before confirming orders.

- Coordinate with the warehouse for dispatch.

- Inform customers regarding back orders and expected delivery.

Software Skills

- Experience with Marg ERP or similar billing software.

- Basic MS Excel knowledge.

- Fast and accurate typing skills.

- Ability to prepare reports and maintain records.

Required Skills

- Good communication skills in Marathi, Hindi, and basic English.

- Good telephone etiquette and customer handling skills.

- Ability to understand customer requirements quickly.

- Attention to detail and high billing accuracy.

- Ability to work under pressure and handle multiple orders.

- Positive attitude and teamwork.

Preferred Experience

- 3-5 years' experience in Surgical, Pharmaceutical, or Medical Distribution.

- Experience in wholesale billing will be preferred.

- Knowledge of GST billing and documentation.
