About the Role
We are looking for a detail-oriented and experienced Account Executive who can independently manage accounting, taxation, invoicing, and finance-related activities across multiple international locations.
The ideal candidate should have practical knowledge of Indian accounting, GST, taxation, bookkeeping, import-export documentation, international invoicing, logistics documentation, and foreign currency transactions. Experience in commodity trading or an international trading company will be an advantage.
Key Responsibilities
1. Accounting & Bookkeeping
Maintain day-to-day accounting and bookkeeping for multiple companies/entities.
Record sales, purchases, expenses, receipts, payments, bank transactions and journal entries.
Maintain accounts payable and accounts receivable.
Perform regular bank and ledger reconciliations.
Track customer and supplier outstanding balances.
Coordinate with auditors, consultants and external accountants whenever required.
2. GST & Indian Taxation
Manage GST accounting, invoicing and documentation.
Prepare and coordinate GST returns and reconciliations.
Ensure proper recording of input and output GST.
Handle TDS-related accounting and documentation.
Support income-tax compliance and audit requirements.
Maintain proper tax records and supporting documentation.
Coordinate with CA/tax consultants for statutory compliance.
3. International Accounts
Maintain accounting records for multiple international entities and locations.
Book keeping.
Handle invoicing and transactions involving India, UAE, Ghana, Mali, Singapore and other international locations.
Co-ordinate with International CA
4. Invoicing & Commercial Documentation
Prepare sales invoices, purchase invoices, proforma invoices and commercial invoices.
Verify invoice details against Purchase Orders, contracts and delivery documents.
Maintain proper documentation for customer and supplier transactions.
Follow up for payments and maintain receivable ageing.
Coordinate with sales and operations teams for billing and collections.
5. Import & Export Documentation
Handle and maintain documentation related to international trade transactions.
Coordinate documentation for:
Commercial Invoice
Proforma Invoice
Packing List
Bill of Lading
Certificate of Origin
Shipping documents
Insurance documents
Purchase Orders
Letter of Credit / payment documents
Customs and clearance documentation
Coordinate with freight forwarders, shipping lines, CHA/customs agents, suppliers and customers.
Ensure financial and commercial documents are properly aligned with shipment and customs requirements.
6. Logistics & Trade Coordination
Coordinate with the logistics team for import/export shipments.
Track shipment-related documentation and payment requirements.
Verify freight, customs, insurance and other logistics-related invoices.
Maintain shipment-wise costing and documentation.
Assist in calculating landed cost, FOB/CIF values and shipment profitability.
Required Skills
Strong knowledge of Tally / ERP / accounting software and MS Excel.
Good understanding of GST, TDS and Indian taxation.
Practical knowledge of bookkeeping and financial accounting.
Understanding of Import & Export accounting and documentation.
Knowledge of international trade transactions and foreign currency accounting.
Good understanding of invoices, purchase orders, contracts and shipping documents.
Strong reconciliation and analytical skills.
Excellent attention to detail.
Ability to manage multiple entities, transactions and deadlines simultaneously.
Good written and verbal communication skills.
Ability to coordinate with international teams, suppliers, customers and logistics partners.
Preferred Qualifications
B.Com / M.Com / CA Inter / CMA Inter or equivalent qualification.
2-3 years of relevant experience in accounting, finance, import-export or international trading.
Experience in commodity trading, international trading, logistics or export-import companies will be preferred.
Experience working with UAE/GCC or African entities will be an added advantage.
