Job Description: Detailing/Car Buy & Sell Garage Accountant

We are seeking a meticulous and organized individual to join our automotive detailing and buy/sell garage as an Accountant with a focus on vehicle purchases, sales, and overall garage financials. This role combines traditional accounting responsibilities with inventory control and automotive industry workflows. The ideal candidate will have a knack for numbers, understanding of vehicle valuation, and the ability to maintain accurate records in a fast-paced shop environment.
Key Responsibilities
Financial & Accounting
Maintain the general ledger, accounts payable/receivable, and bank reconciliations.
Prepare monthly financial statements, including profit & loss, balance sheet, and cash flow reports.
Track garage expenses (detailing supplies, parts, tires, lubricants, and maintenance tools) and allocate costs to appropriate cost centers.
Manage payroll processing, timekeeping, and related statutory compliance (income tax, social security, etc.) as applicable.
Reconcile vehicle-related income (sales revenue, service charges) and expenses (procurement, refurbishments, detailing packages).
Assist with budgeting, forecasting, and variance analysis.
Ensure compliance with local, state, and federal regulations; maintain audit trails and documentation.
Assist with tax preparation and year-end closing activities.
Prepare financial KPIs relevant to a detailing and car buy/sell operation (gross margin on vehicles, detailing packages, promotions, inventory aging).
Inventory & Vehicle Management
Track incoming inventory (vehicles acquired through trade-ins, purchases, or consignments) and outgoing inventory (sold vehicles, consignments).
Maintain detailed vehicle records: VIN, make/model, year, mileage, acquisition cost, repairs, detailing work, photos, and current valuation.
Conduct regular physical inventory counts and reconcile with inventory system.
Manage vehicle reconditioning/repair costs and capture in the cost of goods sold (COGS).
Monitor aging inventory and assist with pricing strategies to optimize turnover and profit.
Coordinate with sales team on vehicle pricing, promotions, and discounts while ensuring profitability.
Detailing & Service Operations
Record detailing packages and service jobs, including pricing, labor hours, and materials used.
Track labor productivity and job profitability for detailing and repair work.
Ensure proper job costing for each vehicle (detailing, cosmetic repairs, mechanical work, and licensing).
Compliance & Controls
Implement internal controls to safeguard assets and ensure accuracy of financial data.
Prepare and maintain documentation for audits, periodic reviews, and external audits if required.
Ensure proper segregation of duties between procurement, cash handling, and accounting processes.
Data, Reporting & Analytics
Generate regular management reports for owners and department heads.
Provide insights on pricing, promotions, procurement, and inventory levels to optimize profitability.
Maintain and improve dashboard reporting for quick visibility into financial and operational performance.
Administrative & Interpersonal
Liaise with suppliers, vendors, lenders, and customers regarding payments and invoicing.
Support the owner/manager with strategic planning and decision-making.
Maintain organized digital and physical filing systems for all financial records.
Qualifications
Education: Bachelor’s degree in Accounting, Finance, or a related field; or equivalent practical experience.
Experience: 2+ years in accounting or book-keeping; automotive industry experience is a plus.
Knowledge:
Proficiency in accounting software TALLLY e.g., QuickBooks, Xero, or similar) and MS Excel.
Basic understanding of inventory management and cost accounting.
Familiarity with vehicle valuation, dealership turnover, and automotive parts pricing is advantageous.
