Position Title: Operation Manager
Department: Operations
Reports To: General Manager / Managing Director
Location: Head Office & Field Locations
Oversee day-to-day operations across all assigned sites (security, housekeeping, technical services, etc.).
Ensure proper deployment and attendance of manpower per site requirement and client agreement.
Conduct regular site visits, night rounds, and surprise audits to assess quality, discipline, and performance.
Maintain manpower records, shift rosters, duty charts, and incident logs.
Resolve on-site operational issues promptly, escalating to higher authorities when necessary.
Supervise team of supervisors, area officers, and field staff across all service lines.
Conduct regular briefings, roll calls, and training sessions for staff to improve performance.
Ensure discipline, grooming standards, and proper use of uniforms and equipment.
Handle grievances, conflict resolution, warnings, and performance tracking for staff.
Coordinate recruitment, joining formalities, and site induction for new employees.
Act as primary point of contact for client site in-charges and society managers.
Ensure timely and professional communication with clients regarding operations, staff, incidents, etc.
Handle client complaints or service issues and provide immediate corrective actions.
Submit daily/weekly/monthly reports and feedback updates as per client expectations.
Attend review meetings with clients and prepare compliance documents for audits.
Maintain and submit records including:
Duty rosters
Attendance reports
Service checklists
Incident/accident reports
Visitor logs and material movement registers (where applicable)
Ensure all sites follow SOPs and documentation protocols laid out by the company.
Ensure sites adhere to labor laws, PSARA, PF, ESI, and other compliance requirements.
Assist in maintaining valid licenses, ID cards, background verification, and deployment files.
Maintain inventory of uniforms, consumables, and equipment, and report shortages or needs.
Coordinate with vendors for material supply, pest control, equipment servicing, etc.
Monitor AMC vendors and ensure timely servicing of machinery and infrastructure.
Support logistics for event setups, manpower arrangements, or emergency situations.
Ensure optimum utilization of manpower and resources to maintain budgetary efficiency.
Report on overtime, manpower shortages, cost escalations, and site-specific expenses.
Identify training needs for ground-level staff and coordinate with HR/training departments.
Arrange on-job training, fire drills, mock drills, and refresher programs at sites.
Act as the first responder for emergencies: fire, medical, or security-related.
Coordinate with fire department, police, medical aid, and internal teams as required.
Maintain and review emergency response plans for each site.
Provide daily updates to senior management about site operations and staff movement.
Share insights on operational gaps, site requirements, and client feedback for improvements.
Assist in new site mobilizations, handovers, and surveys.
