The person should have these skills:
1. Security and gate control
Verify every visitor, vendor, contractor and vehicle before entry.
Maintain visitor, employee, vehicle and contractor registers.
Issue visitor passes and ensure visitors are escorted where required.
Prevent unauthorised entry, photography, removal of property and access to restricted areas.
Conduct routine patrols and check doors, locks, shutters, lights and vulnerable areas.
Know basic emergency response, fire-extinguisher operation and evacuation procedures.
Remain alert, disciplined and presentable throughout duty.
2. Reception management
Politely receive visitors and identify the purpose of their visit.
Contact the concerned FEPL employee and obtain permission before allowing entry.
Answer and transfer telephone calls clearly and professionally.
Keep the reception and entrance area orderly.
Communicate comfortably in Marathi and Hindi, with basic working English.
Protect confidential information and avoid discussing company matters with outsiders.
3. Courier and document handling
Receive incoming couriers only after checking the recipient, sender and package condition.
Record the date, time, courier company, tracking number and recipient.
Obtain the employee’s signature when handing over important documents or parcels.
Arrange outgoing couriers, prepare labels and maintain dispatch details.
Track important consignments and immediately report delayed, damaged or suspicious packages.
Never open confidential packages unless specifically authorised.
4. Incoming-material control
Verify the supplier’s name, purchase order, delivery challan, invoice, material description, quantity and vehicle number.
Inform Purchase/Stores/Quality before unloading material.
Record all incoming material in the inward register or software.
Direct material to the designated unloading or inspection area.
Note shortages, excess quantity or visible damage and obtain instructions before accepting the material.
Ensure that acknowledged documents are forwarded to the concerned department.
5. Outgoing-material control
Do not allow any material, tool, equipment, scrap or company property to leave without an authorised gate pass.
Match the material physically with the gate pass, delivery challan, invoice or returnable-material document.
Verify description, quantity, package count, consignee, transporter and vehicle number.
Maintain separate records for:
Sale/dispatch material
Job-work material
Returnable material
Non-returnable material
Scrap
Employee or contractor tools
Track due dates for returnable gate passes and report overdue items.
Obtain Stores/Dispatch and authorised-management approval before permitting exit.
6. Administrative and computer skills
Maintain accurate registers in handwriting and preferably in Excel or ERP.
Use email, WhatsApp, scanners, printers and courier-tracking websites.
Scan and file gate passes, challans, courier receipts and visitor records.
Prepare a daily summary of visitors, couriers and material movements.
Escalate discrepancies immediately instead of making assumptions.
7. Essential personal qualities
Honest and dependable.
Alert, observant and firm without being rude.
Good memory and attention to detail.
Able to read invoices, challans, purchase orders and gate passes.
Comfortable with numbers and quantity verification.
Able to stand or patrol for extended periods.
Calm during emergencies and capable of handling difficult visitors.
Willing to work in shifts and provide proper handover to the next person.
Recommended minimum qualifications
12th standard pass; graduate preferred.
Two to five years’ experience in factory security, reception, stores or gate-material control.
Basic computer and Excel knowledge.
Basic fire-safety and first-aid training.
Police verification and satisfactory reference/background checks.
Ex-serviceman or industrial-security experience would be an advantage.
No person enters without verification, and no material leaves without physical checking and an authorised gate pass.
