GENERAL SCOPE OF WORK – PROPERTY MANAGEMENT SERVICES

• Will be responsible for the General Management and smooth functioning of all society amenities

• One point contact for Managing Committee.

• Responsible for getting the work done via existing Electrician, Plumber, MEP Supervisor, Housekeeping and Security teams and other maintenance team as per requirement.

• Handling documents related to AMC vendors

• Arranging Quotation and preparing comparison. Accepted Exclusion based on Discussion:

• Carrying out any Technical Repair Job - himself

• Providing Legal Opinion

Job Description

Administrator Technical – Front Office

Primary Responsibilities:

The Administrator Technical is expected to get the work done by existing Electrician, Plumbers, Housekeeping and Security teams and other maintenance team as per requirement.

1. Administrative

a. Formulating suitable budgeting controls and Monitoring SLA’s & KPI’s for outsourced agencies towards effective service deliverance.

b. Maintaining service level agreements and keeping performance indicator scores above excellence.

c. Ensuring Accuracy of billing information submitted by outsourced agencies.

d. Conducting daily site rounds to ensure proper maintenance of all structures/ building facilities and services are carried out.

e. Dealing with occupants’ queries in verbal/ written form.

f. Ensuring robust complaint management process is in place and is followed meticulously.

g. Coordination with the Admin manager to effectively resolve and communicate the issues.

h. Resolving emergency maintenance matters with urgency.

i. Supporting preparation of Checklist of Key Vendors.

j. Consumables inventory monitoring

2. Other

a. Fit Outs process to be managed as per the Society SOP.

b. To handle Vendors diligently

c. To maintaining Vendors List/ File.

d. Maintaining other files like Quotations, Bills, AMC’s etc.

e. To verify the service quality of all society vendors based on SLA’s and inform observations for taking preventive/ corrective action OR for Committee Representation

(whenever needed).

f. To ensure timely resolution of Request / Complaints.

g. To Liaison with respective vendor accountable for taking action to resolve the complaint.

h. To communicating to concerned Owner w.r.t. to status of their complaint in a cordial manner.

i. To escalating matter to management, if not resolved within stipulated time frame, due to external reasons.

j. To arrange quotations for required services at client site.

3. Technical Services

a. Water related services. To handle any daily / periodic Maintenance SOPs for the following

i. Update water consumption report, tank levels. Check all hydro-pneumatic & transfer pumps for air locks.

ii. Check all pump panels. Note meter readings. AMC required regular servicing activities

iii. RWH

iv. STP

v. Flushing water plumbing lines

vi. Drainage lines

vii. Issues pertaining to PMC

viii. Ensure all water pumps, sump pumps, basement-based pumps are in working condition

b. Housekeeping and Garbage Management

i. Daily Garbage Management

ii. Daily / Periodic Housekeeping and other maintenance.

c. Pest control Management

i. Mosquito, Rodents, General, Termite (if required)

d. Other Technical Services

i. CCTV operations

ii. Lifts related issues

iii. DG related issues

iv. Building Insurance

v. Fire system related. Ensure Fire and Safety compliance.

e. Life Basic services Coordination

i. Electricity

ii. Internet

f. To keep watch on daily maintenance carried out by society in-house electrician / plumber

via checklist.

• It is a Full Time Security Guard job for candidates with 6 months - 3 years of experience.
