We are seeking a highly organized and detail-oriented Sales Coordinator with 2 to 3 years of experience in tender management, quotation preparation, and order generation. The ideal candidate will play a key role in supporting the sales team, coordinating sales activities, ensuring timely submission of tenders, preparing accurate quotations, and processing customer orders. This position requires strong communication skills, excellent follow-through, and the ability to work efficiently in a fast-paced environment.
Key Responsibilities:
1. Tender Management
Review tender invitations and identify requirements.
Coordinate with internal teams (technical, finance, procurement) to gather necessary inputs.
Prepare tender documents including technical, commercial, and compliance sections.
Ensure timely submission of tenders and maintain a record of all tender activities.
Track tender statuses and update the sales team on progress and outcomes.
2. Quotation Preparation
Prepare accurate and competitive quotations based on client specifications.
Ensure pricing, terms, and product details are correct and aligned with company policies.
Follow up with clients on submitted quotations and provide clarifications when necessary.
Maintain a quotation log and update the sales pipeline accordingly.
3. Order Generation & Processing
Generate sales orders based on approved quotations and customer purchase orders.
Coordinate with logistics, inventory, and finance teams to ensure smooth order processing.
Track order fulfilment, delivery schedules, and ensure timely dispatch.
Communicate order status updates to clients and address any issues that arise.
4. Sales Coordination & Support
Provide administrative and operational support to the sales team.
Handle customer inquiries related to products, pricing, deliveries, and documentation.
Assist in arranging client meetings, preparing presentations, and organizing sales materials.
Maintain customer records, sales documents, and updates in CRM or ERP systems.
5. Reporting & Documentation
Prepare regular reports on quotations, tenders, orders, and sales performance.
Maintain a structured filing system for tender documents, quotations, and contracts.
Support the sales team with data analysis and forecasting when required.
Skills and Qualifications:
Experience:
2–3 years of experience in Sales Coordination, Tender Management, or a similar administrative sales role.
Tender Knowledge:
Understanding of tender processes, documentation requirements, compliance, and submission procedures.
Quotation Skills:
Experience preparing accurate and competitive quotations based on client needs.
Order Processing:
Hands-on experience generating and managing sales orders, preferably in a CRM/ERP system.
Communication Skills:
Strong verbal and written communication abilities.
Ability to communicate professionally with clients and internal teams.
Technical Skills:
Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
Experience with CRM or ERP systems (SAP, Odoo, Zoho, etc.) is an advantage.
Organization & Time Management:
Ability to manage multiple tasks and meet strict deadlines.
Attention to Detail:
High accuracy in preparing documents, quotations, and tender submissions.
Teamwork:
Ability to work collaboratively with sales, technical, finance, and logistics teams.
Preferred Qualifications:
Bachelor’s degree in Business Administration, Sales, Marketing, or a related field.
Experience in industries that frequently participate in tenders (construction, IT, ELV systems, engineering, etc.).
