The Sales & Dispatch Coordinator is responsible for managing customer communications, order processing, dispatch coordination, and digital marketing activities to ensure smooth business operations and excellent customer service.
Key Responsibilities
1. Customer Handling
Understand and confirm customer requirements accurately.
Provide timely responses to customer enquiries and updates.
Maintain professional communication with customers through WhatsApp, phone calls, IndiaMART, and Facebook.
2. Order Processing & Dispatch
Monitor pending orders and coordinate with the production team for timely completion.
Ensure materials are prepared according to customer specifications.
Dispatch orders on the next working day after payment clearance.
Send Dispatch Slips and LR (Lorry Receipt) Slips to customers promptly.
No order shall be considered dispatched without proper dispatch documentation.
3. Transport Coordination
Confirm the customer's preferred transport company and branch before dispatch.
Verify transport details before sending the shipment.
Coordinate with transporters to ensure smooth delivery.
4. Inventory & Production Coordination
Monitor material availability for pending orders.
Inform management immediately in case of any material shortage or production delay.
Coordinate with the production team for timely order fulfilment.
5. Lead Management
Check IndiaMART for new leads, assigned leads, and customer messages every 60 minutes.
Respond to enquiries promptly and maintain proper follow-up.
Update lead status and maintain customer records.
6. Social Media & Marketing
Update WhatsApp Status daily with business activities, products, and offers.
Check and respond to Facebook messages and comments.
Create posts for festivals, special occasions, product launches, and company updates.
Publish at least one social media post every week.
Share at least two WhatsApp customer announcements every week.
7. Reporting & Communication
Report pending issues, material shortages, dispatch delays, and customer concerns to management on time.
Maintain accurate records of orders, dispatches, and customer communications.
Coordinate with production, sales, and logistics teams for smooth operations.
Daily Deliverables
Daily WhatsApp Status update.
IndiaMART lead check every 60 minutes.
Facebook message and enquiry handling.
Pending order review and follow-up.
Dispatch document sharing.
Transport branch confirmation.

Skills Required
Good communication skills in Hindi and English.
Basic computer knowledge.
Familiarity with WhatsApp Business, IndiaMART, Facebook, and MS Office.
Good organisational and follow-up skills.
Ability to coordinate with customers, transporters, and production teams.
