We are seeking a proactive and organised Sales Coordinator to support our sales operations and streamline day-to-day activities in the designated zone. The ideal candidate will coordinate between departments, maintain records, and ensure efficient handling of customer inquiries, orders, and after-sales service.
Sales Reporting: Consolidate and maintain daily sales activity reports for the respective zone.
Documentation: Prepare and send quotations, proforma invoices, and order acknowledgements with tentative delivery dates.
Order Review: Validate customer orders against quotations and submitted technical documents before sending order acceptance.
Cross-Functional Coordination: Liaise with Sales, Finance, and Technical teams regarding new inquiries, orders, and dispatches.
Market Monitoring: Stay updated on competitor products, pricing strategies, and market trends, and report to management regularly.
Customer Communication: Coordinate with customers for pre-dispatch and post-dispatch formalities, including order status and document submissions.
Complaint Handling: Track customer complaints, rejections, and issues like short supply, and coordinate resolution.
MIS Reporting: Store and sort sales-related data, preparing timely MIS reports as required by management.
Follow-Ups: Ensure timely payment follow-ups based on agreed payment terms.
File Management: Maintain both digital and physical filing systems for all active sales-related documents.
Strong administrative and organisational skills
Proficiency in MS Office (Excel, Word, Outlook)
Good communication and coordination skills
Basic understanding of sales processes and documentation
Ability to work independently and within a team
Attention to detail and accuracy in reporting
