Job Description

Job Summary:

We are seeking a proactive and organised Sales Coordinator to support our sales operations and streamline day-to-day activities in the designated zone. The ideal candidate will coordinate between departments, maintain records, and ensure efficient handling of customer inquiries, orders, and after-sales service.


Key Responsibilities:

  • Sales Reporting: Consolidate and maintain daily sales activity reports for the respective zone.

  • Documentation: Prepare and send quotations, proforma invoices, and order acknowledgements with tentative delivery dates.

  • Order Review: Validate customer orders against quotations and submitted technical documents before sending order acceptance.

  • Cross-Functional Coordination: Liaise with Sales, Finance, and Technical teams regarding new inquiries, orders, and dispatches.

  • Market Monitoring: Stay updated on competitor products, pricing strategies, and market trends, and report to management regularly.

  • Customer Communication: Coordinate with customers for pre-dispatch and post-dispatch formalities, including order status and document submissions.

  • Complaint Handling: Track customer complaints, rejections, and issues like short supply, and coordinate resolution.

  • MIS Reporting: Store and sort sales-related data, preparing timely MIS reports as required by management.

  • Follow-Ups: Ensure timely payment follow-ups based on agreed payment terms.

  • File Management: Maintain both digital and physical filing systems for all active sales-related documents.


Required Skills & Attributes:

  • Strong administrative and organisational skills

  • Proficiency in MS Office (Excel, Word, Outlook)

  • Good communication and coordination skills

  • Basic understanding of sales processes and documentation

  • Ability to work independently and within a team

  • Attention to detail and accuracy in reporting
