Job Overview
We are looking for a smart, well-organized and responsible Personal Assistant to the Director who can efficiently manage the Director's day-to-day schedule, meetings, travel, communication and follow-ups.
The candidate should be comfortable travelling to other cities for business meetings, client visits, conferences, supplier/DMC meetings and other business activities.
Key Responsibilities
Manage the Director's daily calendar, appointments and meetings.
Coordinate and schedule meetings with clients, suppliers, hotels, DMCs, corporate clients and business partners.
Accompany the Director during local and outstation business travel whenever required.
Plan travel arrangements including flights, hotels, transportation and meeting schedules.
Maintain a daily schedule and ensure timely follow-up on commitments.
Handle emails, WhatsApp messages, calls and routine correspondence on behalf of the Director when required.
Prepare meeting agendas, notes, presentations and basic reports.
Take meeting minutes and ensure action points are followed up.
Coordinate with internal teams and ensure tasks assigned by the Director are completed on time.
Maintain important documents, contacts, quotations, reports and confidential information.
Assist in preparing business proposals, presentations and travel-related documents.
Maintain a database of important business contacts and follow-ups.
Handle confidential and sensitive business information professionally.
Coordinate with hotels, airlines, DMCs, travel partners and other suppliers when required.
Assist the Director in personal and professional scheduling as required.
Required Skills
Excellent communication skills in English and Hindi.
Good written English and professional email drafting.
Strong organizational and time-management skills.
Good knowledge of MS Excel, Word, PowerPoint and Google Workspace.
Good follow-up and coordination skills.
Ability to multitask and handle urgent assignments.
Professional personality and presentable appearance.
Strong interpersonal and relationship-management skills.
Ability to work independently with minimum supervision.
Willingness to travel to other cities and accompany the Director on business trips.
Should be comfortable working flexible hours when business requirements demand.
Preferred Skills
Experience as PA / Executive Assistant / Executive Coordinator.
Knowledge of domestic and international travel.
Experience dealing with hotels, DMCs, airlines, corporates or travel agencies.
Candidate Profile
We are looking for someone who is mature, trustworthy, proactive, well-spoken and highly organized, with the ability to anticipate the Director's requirements rather than waiting for instructions.
The candidate should be comfortable handling both office coordination and outstation travel responsibilities.
