Key Responsibilities:
1. Material Handling & Inventory Management
o Receive, inspect, and verify incoming raw materials and packing materials as
per purchase orders.
o Maintain accurate records of transit, Finished Goods. and return goods
o Conduct periodic physical stock audits and maintain real-time inventory using
FIFO/FEFO systems.
2. Loading & Unloading Operations
o Supervise the loading/unloading of raw materials, packing materials, and
finished goods.
o Ensure proper documentation, quantity checks, and handling practices during
movement.
o Coordinate with transporters and internal departments for smooth and
timely movement of materials.
o Ensure timely dispatch and accurate loading of finished goods as per
approved sales or dispatch orders.
o Ensure that the finished goods loaded in the vehicle match the sales bill
exactly — avoiding both shortages and excess quantities.
o Cross-check dispatch documents with physical stock before vehicle release.
3. Finished Goods Management & Dispatch
o Store finished goods batch-wise with proper labelling and segregation.
o Ensure timely dispatch and loading of finished goods as per approved sales
or dispatch orders.
o Coordinate with QA/QC for release status before dispatch.
4. Billing & Documentation
o Prepare finished goods bills/invoices based on dispatch and customer
orders.
o Ensure accurate entry of product names, batch numbers, quantities, and
rates.
o Submit bills to accounts and sales teams on a daily or batch-wise basis.
5. Bill Verification
o Verify bills from suppliers/vendors related to inward raw/packing materials.
o Match invoice details with GRN (Goods Receipt Notes), P.O. (Purchase Order),
and physical receipts.
o Highlight any discrepancies to procurement/accounts for timely resolution.
6. Documentation & Record-Keeping
o Maintain all records of finish goods, despatch goods and return goods.
o Update ERP/software system for all material and billing transactions.
o Keep all store-related documentation up to date and audit-ready.
7. Coordination & Communication
o Act as a point of contact between store, production, QA/QC, purchase, and
accounts departments.
o Provide daily updates of stock and billing status to seniors and concerned
teams.
8. Compliance & Safety
o Adhere to cGMP, 5S, and safety norms in storage and dispatch operations.
o Ensure proper storage conditions and segregation of materials to avoid cross-
contamination or spoilage.
o Monitor and control near-expiry or non-moving inventory.
9. ERP/Software system
o Ensure that all entries such as FMR (Finished Material Receipt), sales bills,
and dispatch notes are completed at the time of activity to avoid delays or
backlogs.
o Maintain updated records for audit and compliance.
10. Shipments Readiness.
o Ensure shipment readiness for Export, Amazon, and Domestic dispatches,
including activities like wrapping, strapping, labelling, and palletization as per
the Proforma Invoice (PI).
o Coordinate timely dispatch of all shipments to avoid any delays or non-
compliance with customer requirements.
