2. Job Purpose

The Store Keeping Manager is responsible for the efficient management and control of all inventory, materials, tools, equipment, and supplies within the organization's stores and warehouse.

The role ensures that materials are received, inspected, recorded, stored, preserved, issued, and reconciled accurately and on time, while maintaining proper inventory levels, minimizing losses and wastage, and ensuring compliance with company policies, safety standards, and statutory requirements.


3. Key Responsibilities

A. Store & Inventory Management

· Manage the day-to-day operations of the stores/warehouse.

· Maintain accurate records of all incoming, outgoing, and transferred materials.

· Establish and monitor minimum, maximum, and reorder stock levels.

· Ensure availability of critical materials without unnecessary overstocking.

· Monitor fast-moving, slow-moving, non-moving, obsolete, damaged, and expired inventory.

· Implement appropriate inventory control procedures.

· Ensure proper FIFO/FEFO practices wherever applicable.

· Investigate and resolve stock discrepancies.

B. Material Receiving

· Supervise receipt of materials against approved Purchase Orders (POs).

· Verify quantity, specifications, packaging, and physical condition of received materials.

· Ensure proper preparation and processing of Goods Receipt Notes (GRNs).

· Coordinate with Procurement, Quality, and concerned departments regarding rejected or damaged materials.

· Ensure received materials are properly identified and moved to designated storage locations.

C. Storage & Warehouse Operations

· Organize storage locations for optimum utilization of warehouse space.

· Ensure proper labeling, coding, binning, and identification of materials.

· Maintain proper storage conditions based on the nature of each material.

· Ensure safe stacking and material-handling practices.

· Maintain cleanliness, housekeeping, pest control, and general warehouse discipline.

· Ensure adequate protection of materials against damage, deterioration, contamination, and unauthorized access.

D. Material Issuing & Returns

· Ensure materials are issued only against duly authorized Material Requisitions/Issue Notes.

· Verify item codes, descriptions, specifications, and quantities before issuing materials.

· Maintain accurate records of all material issues, returns, and transfers.

· Monitor material consumption and highlight unusual or excessive usage.

· Ensure unused materials are properly returned, inspected, and recorded.

E. Stock Verification & Reconciliation

· Plan and conduct periodic physical stock counts and cycle counts.

· Reconcile physical inventory with ERP/system records.

· Investigate shortages, excesses, damages, and other inventory variances.

· Prepare stock adjustment recommendations in accordance with company authorization procedures.

· Maintain complete traceability of inventory movements.

· Support annual physical inventory and financial stock verification.

F. ERP / Inventory System

· Ensure all inventory transactions are entered accurately and promptly into the ERP/WMS.

· Maintain item masters, bin locations, stock balances, and relevant inventory records as applicable.

· Monitor system-generated replenishment and stock reports.

· Ensure proper documentation and system controls for receipts, issues, transfers, and adjustments.

G. Team Management

· Supervise and lead storekeepers, warehouse assistants, material handlers, and other store personnel.

· Allocate daily responsibilities and manpower according to operational requirements.

· Monitor staff productivity, attendance, discipline, and performance.

· Train employees on inventory procedures, material handling, safety, and housekeeping.

· Conduct regular team briefings and performance reviews.

· Promote a culture of accountability and continuous improvement.

H. Coordination with Other Departments

· Coordinate with Procurement regarding pending deliveries and replenishment requirements.

· Coordinate with Production/Operations/Maintenance/Projects regarding material requirements.

· Provide Finance with accurate inventory information for stock valuation and reconciliation.

· Coordinate with Quality regarding inspection and non-conforming materials.

· Support management with inventory-related analysis and decision-making.

I. Reporting

Prepare and submit periodic reports including:

· Inventory status reports

· Stock movement reports

· Stock variance reports

· Material consumption reports

· Slow/non-moving inventory reports

· Stock aging reports

· Damaged/expired material reports

· Stock-out reports

· Inventory valuation reports

· Warehouse performance/KPI reports

J. Safety, Security & Compliance

· Ensure compliance with warehouse safety policies and procedures.

· Ensure proper use of PPE and material-handling equipment.

· Maintain safe stacking, storage, loading, and unloading practices.

· Ensure fire exits, emergency equipment, and access routes remain unobstructed.

· Control unauthorized access to stores.

· Report accidents, incidents, losses, and security issues promptly.

· Ensure compliance with applicable company, statutory, environmental, and safety requirements.

K. Audit & Continuous Improvement

· Support internal, external, financial, and inventory audits.

· Maintain complete and accurate supporting documentation.

· Implement corrective and preventive actions arising from audit findings.

· Identify opportunities to improve inventory accuracy, warehouse utilization, material flow, and operating efficiency.

· Develop and implement SOPs, work instructions, and inventory control procedures.


4. Key Accountabilities
