Retail Sales Store Incharge

1. Store Operations & Inventory Control

• Ensure end-to-end ownership of store operations and inventory accuracy

• Maintain stock of RM, FG, consumables, and packing materials with proper control

• Perform GRN processing and coordinate with QC for incoming inspection & rejection handling

• Implement FIFO/FEFO and batch/lot traceability system

• Maintain bin location system, labeling, and 5S practices

• Monitor reorder levels, safety stock, and minimum–maximum stock levels

• Track inventory aging, slow-moving, and dead stock and initiate corrective actions

• Ensure real-time ERP entries and match with physical stock (high accuracy target)

• Control unauthorized material movement through proper documentation/system entries

• Manage scrap, rejection, and disposal records with proper control

• Ensure timely material issuance to production without delays

• Prevent loss, damage, or pilferage of materials

2. Dispatch & Logistics Management

· Plan dispatches based on production readiness and customer priority

· Ensure on-time, in-full (OTIF) and damage-free delivery performance

· Arrange cost-effective transportation and ensure vehicle availability

· Optimize freight cost, route planning, and vehicle utilization

· Plan safe and efficient loading (space utilization & handling safety)

· Track shipments and ensure delivery commitment adherence

· Avoid vehicle waiting and dispatch delays due to poor coordination

· Handle reverse logistics (customer returns, rejections, inward adjustment)

3. Dispatch Documentation & Compliance

· Verify invoices, challans, e-way bills, delivery notes before dispatch

· Ensure GST compliance and statutory requirements

· Maintain packing standards, labeling, and quantity verification

· Manage and track Proof of Delivery (POD) records

· Follow customer-specific dispatch and documentation requirements

4. Inventory Planning & Control

· Maintain optimum inventory levels to support production without overstocking

· Monitor and reduce stock-outs of critical materials

· Analyze consumption patterns and forecast requirements

· Support inventory turnover improvement and working capital control

5. Consumable Procurement

· Plan and procure consumables and operational materials proactively

· Maintain stock levels based on usage trends

· Collect quotations and prepare comparative statements for approval

· Ensure timely availability to avoid operational disruption

6. Vendor & Transporter Management

· Coordinate with transporters for vehicle placement and delivery timelines

· Maintain rate comparison and negotiate freight cost

· Evaluate vendors based on cost, service, and reliability

· Develop alternate vendors to reduce dependency risk

7. Cross-Functional Coordination

· Align with Production for material readiness and issuance

· Coordinate with Sales for dispatch priorities and commitments

· Work with Accounts for billing and documentation clearance

· Ensure smooth communication to avoid delays and misalignment

8. MIS, Reporting & KPI Tracking

Maintain data for:

· Inventory status & aging

· Dispatch performance (OTIF)

· Transport cost

· Consumable usage

· Prepare daily/weekly/monthly MIS reports

Track and improve key KPIs:

· Stock accuracy

· Inventory turnover

· OTIF delivery

· Dispatch turnaround time

· Logistics cost

9. Team Handling & Discipline

· Supervise store and dispatch team activities

· Allocate daily tasks and monitor productivity and performance

· Ensure adherence to SOPs, discipline, and process compliance

· Train team on ERP, documentation, and operational practices

10. Risk, Issue Handling & Cost Control

· Identify and prevent risks like wrong dispatch, stock mismatch, delays

· Handle transit damage, shortages, and claims (with transporter/insurance)

· Control and reduce logistics and inventory carrying costs

· Minimize wastage in packing materials and consumables
