Job Description

JOB RESPONSIBILITY OF STORES & PURCHASE MANAGER

In charge is responsible for the following

1.      Keep ready all user departments consumables/products as per regular & routine requirement.

2.      Have surplus/Buffer stocks to meet the immediate needs of user department needs.

3.      Has a master list of products/consumables and material that are available.

4.      Maintains medical & non medical items separately.

5.      Ensures to label and store them as per their specification.

6.      Receives goods as per the P.O and GRN, ensures to store in pre designated racks/shelf/areas keeps it for easy retrieval and transfer to various user departments.

7.      Follows FIFO(First in First out) method and labels items accordingly.

8.      Brings in Awareness of product availability to user departments include, the range available & stock position.

9.      Maintains stock & Issue statement.

10.  Checks for indent Approvals by authorized personnel.

11.  Protects all materials from damages, natural calamities, Rodents & pests.

12.  Statutory storage practices will have to be  followed. Shall maintain ‘scheduled drugs’ in safe custody with log of usage.

13.  Shall Maintain stores register, Indent Register, P.O & sale & stock statements.

 

Work Instructions

1.      In charge ensures to have a Master list of stores materials/consumables and enough shelves & Racks to store materials.

2.      Checks inventory on weekly basis notes stock position.  All critical and fast moving products are checked on daily basis.

3.      Follows FIFO method of distribution & retrieval.

4.      Generate stock & sale statement on monthly basis.

5.      Take action for replacement of products consumed.

6.      Ensures to receive all user departments indents in timely order every day.

7.      Co-ordinates for the supply as per the description in indent.

8.      Prepares P.O for product not available and supports user departments scheduled needs.

9.      Makes emergency purchase whenever demanded.

10.  Checks on the Master list of product consumption and supports replacement.

11.  Maintains separate counter for storing /Medical & Non Medical products.

12.  Ensures to label all products stored in the rack.

13.  Maintains the following registers-stock register for medicines (medicines, Injection fluids) surgical items, surgical instruments, Intra ocular lens & MISC items.

  

 Printing of Stationery

1.      Organize printing of all stationery requirements used in the hospital (Including promotional Materials used in PR & Mktg ,OPD, Consultant Doctors, OT, WARD, etc.,)

2.      Reordering the same with authorized personnel.

3.      Use authorized specifications, font, coloring size etc in all printing orders.

4.      Name and Number all printing material forms.

5.      Collect indents for visiting cards, Patient files Brouchers etc., process the same.

6.      Keep ready stocks of printing papers, pens, pencil, staples, pins & sundry stationary by items.
