Job Description

An Administrative Officer at an engineering college is a key position responsible for managing various administrative functions to ensure the smooth operation of the institution. This includes overseeing student affairs, managing campus infrastructure, coordinating events, and managing finances. The officer also plays a role in HR, policy implementation, and liaison with external bodies. 

Key Responsibilities:

  • Student Affairs: Overseeing admissions, enrollment, and graduation processes. 

  • Campus Management: Managing campus maintenance, infrastructure, and security. 

  • Event Coordination: Organizing college events, workshops, and seminars. 

  • Financial Management: Assisting with budget preparation, financial planning, and monitoring expenses. 

  • HR Management: Handling recruitment, employee records, and benefits administration. 

  • Liaison: Coordinating with internal and external departments and bodies. 

  • Policy Implementation: Ensuring compliance with relevant regulations and implementing institutional policies. 

  • Office Operations: Supervising daily office operations, managing staff, and maintaining office facilities. 

  • Data Analysis and Reporting: Analyzing data, preparing reports, and presenting findings to support decision-making. 

Specific Duties:

  • Maintain Student Records:

    Keeping records of student enrollments, attendance, and other relevant information. 

  • Manage Faculty Records:

    Maintaining records of faculty leave, on-duty status, and other related information. 

  • Coordinate with External Bodies:

    Liaising with universities, regulatory bodies, and other external stakeholders. 

  • Oversee Procurement:

    Managing the procurement of office supplies, equipment, and other materials. 

  • Assist with Events:

    Helping to organize and coordinate college events, workshops, and seminars. 

  • Manage Student Scholarships:

    Overseeing the administration of various student scholarships. 

  • Ensure smooth functioning of examinations:

    Ensuring the smooth conduct of university examinations and liaising with the university for any issues. 

  • Supervise staff:

    Overseeing the performance and training of office staff. 

  • Address administrative issues:

    Addressing administrative issues and making decisions in a timely and effective manner.
