Job Overview: The Admin, HR & Crewing Officer will manage day-to-day administrative operations, HR functions, and complete crewing activities for company-managed vessels. This role ensures efficient office operations, timely crew mobilization, compliance with flag-state & MLC requirements, and smooth coordination between ship owners, crew, and management.
Key Responsibilities:
1. Crewing Operations • Maintain and update crew database, certificates, travel documents, and expiry alerts. • Source, screen, and recruit qualified seafarers for various ranks as per vessel requirements. • Coordinate crew change planning—sign-on/sign-off schedules, rotation plans, and crew relief. • Arrange visas, air tickets, medical tests, flag-state documents, and travel logistics. • Ensure compliance with MLC 2006, STCW, ISM, and flag-state regulations. • Liaise with manning agents, training centres, and flag-state offices. • Prepare and issue employment contracts, joining instructions, and crew evaluation reports. • Monitor crew performance, discipline, and grievance handling.
2. HR Responsibilities • Manage employee onboarding, induction, attendance, and leave records. • Maintain HR files, payroll inputs, insurance, and employment contracts. • Support HR policies, HRMS updates, and performance appraisal processes. • Assist in recruitment for office staff—job postings, screening, interview scheduling. • Coordinate training programs for crew and office employees. • Ensure compliance with company policies, local labour laws, and safety standards.
3. Administrative Responsibilities • Manage daily office operations, procurement, vendor coordination, and petty cash. • Prepare reports, minutes of meetings, and internal documentation. • Manage company communications, email management, and document filing. • Handle office supplies, maintenance, AMC renewals, and support senior management. • Assist in audit preparation (internal/external/ISM/ISO/MLC). Required Skills & Competencies • Strong communication and coordination skills. • Proficiency in MS Office, Excel, and HR/Crewing software (if applicable). • Ability to multitask, prioritize, and work under pressure. • Strong organizational and documentation skills. • Team player with problem-solving ability. Qualifications • MBA/BBA in HR, Administration, Marine Management, or related fields. • Experience in Marine Crewing/HR/Admin (preferred) or fresher can also apply.
