Job Title: HR Manager – Retail Operations

Job Summary
The HR Manager – Retail Operations will be responsible for managing the entire HR function across all retail outlets, warehouses, and corporate offices. This role ensures effective workforce planning, recruitment, employee engagement, compliance, payroll coordination, and performance management to support smooth retail operations. The HR Manager will act as a strategic partner to management and ensure that all HR processes align with company policies and statutory requirements.
Key Responsibilities
1. Recruitment & Manpower Planning
Manage end-to-end recruitment for retail stores, warehouses, and corporate staff.
Coordinate manpower planning with operations managers and branch heads.
Source candidates through job portals, agencies, and internal referrals.
Conduct interviews, salary negotiations, and final selection.
Ensure timely onboarding and documentation of new employees.
2. HR Operations & Employee Lifecycle
Handle the entire employee lifecycle including joining, confirmation, promotion, transfer, and exit.
Maintain employee personal files and HR documentation.
Manage HRMS and employee database.
Issue appointment letters, confirmation letters, experience letters, and other HR communications.
3. Payroll & Compensation Management
Coordinate monthly payroll processing with finance.
Verify attendance, leave records, incentives, deductions, and overtime.
Ensure accurate salary disbursement for retail staff across branches.
Handle statutory deductions such as PF, ESI, Professional Tax, and TDS.
4. Statutory Compliance
Ensure compliance with labour laws and statutory regulations including:

ESI
Shops & Establishment Act
Minimum Wages
Bonus Act
Gratuity Act
Coordinate with labour authorities during inspections or audits.
Maintain statutory registers and compliance records.
5. Attendance & Leave Management
Monitor daily attendance of retail outlets.
Ensure proper leave management and shift scheduling.
Address absenteeism and attendance irregularities.
6. Performance Management
Implement performance evaluation systems for retail employees.
Coordinate performance reviews with branch managers.
Track employee productivity and performance improvements.
7. Employee Relations & Discipline
Address employee grievances and workplace issues.
Conduct disciplinary actions including warning letters, memos, and investigations.
Ensure compliance with company policies and maintain workplace discipline.
8. Training & Development
Identify training needs for retail employees.
Conduct induction programs for new hires.
Organize training programs related to customer service, product knowledge, and retail operations.
9. HR Reporting & MIS
Prepare monthly HR reports including:
Manpower reports
Attrition reports
Recruitment status
Payroll reports
Provide HR analytics and workforce insights to management.
Required Qualifications
Bachelor’s Degree in Human Resources / Business Administration / Commerce
MBA or PG Diploma in HR (Preferred)
Experience
5–10 years of HR experience, preferably in Retail / Pharmacy / FMCG / Multi-location operations.
