Job Description – Human Resources Executive / HR Executive

1. Position Overview

The HR Executive will be responsible for managing end-to-end HR functions, including recruitment, onboarding, employee engagement, performance management, documentation, attendance, payroll coordination, and compliance. The role requires strong communication skills, attention to detail, and the ability to manage multiple HR activities efficiently.


2. Key Responsibilities

A. Recruitment & Talent Acquisition

  • End-to-end recruitment: sourcing, screening, scheduling, interviewing, and shortlisting candidates.

  • Creating job descriptions and posting them on job portals and social media.

  • Maintaining candidate pipeline and tracking hiring progress.

  • Coordinating with department heads to understand manpower requirements.

B. Onboarding & Induction

  • Preparing offer letters, appointment letters, and joining documentation.

  • Conducting orientation and induction sessions for new hires.

  • Verifying documents and maintaining employee records.

  • Creating employee codes and updating HRMS/attendance systems.

C. HR Documentation & Compliance

  • Ensuring proper maintenance of confidential employee files.

  • Preparing HR letters: experience, relieving, transfer, confirmation, etc.

  • Ensuring compliance with company policies and labour regulations.

  • Drafting and revising HR policies in coordination with management.

D. Attendance, Payroll & Leave Management

  • Monitoring daily attendance, work hours, and leave records.

  • Coordinating with the Accounts/Payroll team for salary processing.

  • Managing leave requests, approvals, and monthly reports.

E. Employee Relations & Engagement

  • Acting as a point of contact for employee queries and grievances.

  • Handling employee concerns with confidentiality and professionalism.

  • Planning and executing employee engagement activities and events.

  • Ensuring a positive, healthy, and productive work environment.

F. Performance Management

  • Coordinating quarterly and annual performance reviews.

  • Assisting managers with goal setting and performance documentation.

  • Maintaining records of appraisals, promotions, and performance plans.

G. Exit Formalities

  • Managing resignations, notice periods, and clearance processes.

  • Conducting exit interviews and preparing experience/relieving letters.

  • Ensuring proper handover and documentation during separation.


3. Skills & Competencies

  • Strong communication (verbal & written)

  • Knowledge of HR policies and labor regulations

  • Proficiency in MS Office & HRMS tools

  • Good interpersonal and problem-solving skills

  • High integrity, professionalism, and confidentiality

  • Time management and multitasking abilities


4. Qualification & Experience

  • Bachelor’s or Master’s degree in HR, Recruiting, Management, or related field.

  • 1–3 years of experience in HR operations (for Executive level).

  • Freshers with good communication skills may also be considered (as HR Trainee).
