Executive Assistant to CEO
Position Summary:
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support senior leadership in managing day-to-day operations, strategic initiatives, and confidential communications. This role demands exceptional communication skills, discretion, and the ability to anticipate needs in a fast-paced environment.
🛠 Key Responsibilities
Calendar & Schedule Management:
Coordinate meetings, appointments, and travel plans; ensure optimal time allocation and conflict resolution.
Communication & Correspondence:
Draft, review, and manage emails, reports, and presentations; liaise with internal and external stakeholders professionally.
Meeting Preparation & Follow-up:
Organize agendas, take minutes, and track action items for leadership meetings and strategic sessions.
Travel & Logistics:
Plan domestic and international travel, including itineraries, accommodations, and expense tracking.
Confidential Support:
Handle sensitive information with discretion; manage confidential files and records.
Project Coordination:
Assist in tracking progress of key initiatives, preparing updates, and ensuring timely execution.
Office & Resource Management:
Oversee executive office supplies, vendor coordination, and administrative workflows including hiring, accounting.
🎯 Qualifications & Skills
Proven experience as an Executive Assistant or similar role (2+ years preferred)
Excellent written and verbal communication skills
Strong organizational and time-management abilities
Proficiency in Microsoft Office Suite and calendar tools (e.g., Outlook, Google Calendar)
Ability to multitask and prioritize under pressure
High level of discretion and professionalism
Bachelor’s degree preferred
