About the Role
We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and strategic support to senior leadership. The ideal candidate will possess exceptional communication skills, strong organizational abilities, and the discretion to handle confidential information. This role requires excellent multitasking capabilities and the ability to manage priorities in a fast-paced environment.
Key Responsibilities
Manage the executive's calendar, appointments, meetings, and travel arrangements.
Coordinate internal and external meetings, prepare agendas, and record meeting minutes.
Screen calls, emails, and correspondence, responding or escalating as appropriate.
Draft, review, and manage business correspondence, reports, presentations, and other documents.
Coordinate with internal departments and external stakeholders to ensure smooth communication and timely execution of tasks.
Track action items, follow up on deliverables, and ensure deadlines are met.
Maintain confidential records, files, and business documents.
Organize business events, client meetings, and company visits.
Handle travel bookings, accommodation, expense reports, and reimbursements.
Conduct research, gather data, and prepare reports for business reviews and decision-making.
Support special projects and strategic initiatives assigned by management.
Ensure efficient office administration and maintain professional communication at all levels.
Required Qualifications
Bachelor's degree in Business Administration, Commerce, Management, or a related field.
3–7 years of experience as an Executive Assistant, Personal Assistant, or Executive Secretary supporting senior management.
Excellent verbal and written communication skills in English.
Strong organizational, planning, and time-management skills.
High level of professionalism, integrity, and confidentiality.
Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and Google Workspace.
Experience in preparing presentations, reports, and meeting documentation.
Ability to multitask and work under pressure with minimal supervision.
