Job Summary:
We are seeking an experienced and proactive Facility & Admin Manager to oversee all administrative and facility management functions of our organization. The ideal candidate will have over 8 years of proven experience in managing office facilities, vendor operations, and general administration, ensuring a safe, clean, and efficient workplace for all staff.
Key Responsibilities:
Supervise overall facility management including housekeeping, security, maintenance, and office infrastructure.
Oversee day-to-day administration tasks to ensure smooth office functioning.
Manage vendor contracts and relationships for services like AMC, security, cleaning, pest control, etc.
Monitor and ensure timely procurement of office supplies, equipment, and consumables.
Coordinate repair and maintenance activities across all departments.
Handle utility services including electricity, water, air conditioning, and waste management.
Maintain records of AMC, licenses, fire safety compliance, and statutory documentation.
Ensure health, safety, and environmental (HSE) standards are followed within the premises.
Prepare and manage budgets related to facility and administrative expenses.
Organize internal events, travel bookings, meeting room scheduling, and logistics support.
Lead a team of admin executives, office assistants, and support staff.
Implement cost-saving and process improvement initiatives in facility management.
Key Skills & Requirements:
Bachelor's degree in Business Administration, Facility Management, or a related field.
Minimum 8 years of hands-on experience in facility and administrative management.
Strong leadership and team-handling skills.
Excellent vendor negotiation and contract management ability.
Knowledge of statutory compliance and safety protocols.
Proficient in MS Office, facility management software/tools.
Strong communication, problem-solving, and organizational skills.
Preferred Candidates:
Candidates from manufacturing, IT parks, educational institutions, or corporate office backgrounds.
Familiarity with ISO, OSHA, or other compliance systems.
