Job Purpose
The Facility & Administration Executive is responsible for the upkeep and safety of the sports venue, ensuring smooth day-to-day maintenance, managing inventory and vendor relationships, and handling general administrative functions to support seamless operations.
Key Responsibilities
Venue Maintenance
• Conduct regular inspections of courts, turf, equipment, and common areas to ensure they are safe, clean, and in good working condition.
• Coordinate preventive and corrective maintenance for facility infrastructure (lighting, plumbing, HVAC, flooring, nets, goals, etc.).
• Schedule and supervise repair work, ensuring minimal disruption to venue operations and bookings.
• Maintain housekeeping and cleanliness standards across all venue areas, washrooms, and changing rooms.
• Ensure compliance with safety protocols, fire safety equipment checks, and statutory maintenance requirements.
• Maintain a maintenance log/checklist and escalate major repair needs to the Facility Manager.
Inventory & Vendor Management
• Track equipment and supplies stock; raise purchase requests as needed.
• Manage vendors for maintenance, housekeeping, and equipment supply.
• Verify vendor invoices and ensure timely payments and AMC renewals.
Administration
• Handle day-to-day administrative tasks including documentation, filing, and record maintenance.
• Support facility-related procurement, petty cash management, and expense tracking.
• Assist in onboarding new vendors/staff with necessary site inductions and access arrangements.
• Provide administrative support during events, tournaments, or community programs hosted at the venue.
Requirements
• Graduate in any discipline; a background in facility management or administration is a plus.
• 2-4 years of experience in facility maintenance, admin, or vendor management (sports/hospitality background preferred).
• Working knowledge of MS Office/Excel for inventory and record-keeping.
• Strong coordination and follow-up skills with the ability to manage multiple vendors simultaneously.
• Willingness to work on-site and flexible with weekend/evening shifts as per venue operating hours.
