Job Description

Job Title: Senior Admin Executive
Department: Administration
Location: Head Office / Hyderabad
Employment Type: Full-Time

Job Summary:

We are seeking a detail-oriented and proactive Senior Admin Executive to oversee administrative operations with a strong focus on vendor management, payment processing, and cross-functional coordination. The ideal candidate will ensure timely vendor payments, maintain effective communication with vendors and internal departments, and support the smooth functioning of administrative processes.


Key Responsibilities:

  • Vendor Management:

    • Manage end-to-end vendor relationships including onboarding, documentation, and performance tracking.

    • Maintain an up-to-date database of vendors and service agreements.

    • Handle vendor queries and resolve any issues related to payments or services.

  • Payments Processing:

    • Verify and process vendor invoices in coordination with the finance team.

    • Ensure timely and accurate payments in line with company policies.

    • Track payment cycles and maintain records for audits and compliance.

  • Coordination & Communication:

    • Liaise with internal teams including procurement, finance, and management to facilitate smooth vendor transactions.

    • Schedule and coordinate meetings between vendors and management as required.

    • Prepare and present periodic reports on vendor performance and payments status to management.

  • Administrative Support:

    • Assist in the development and enforcement of administrative systems and policies.

    • Maintain accurate records of administrative expenses and vendor contracts.

    • Support procurement activities for office supplies and services.


Requirements:

  • Bachelor’s degree in Business Administration, Management, or related field.

  • Minimum 3–5 years of relevant experience in administrative roles with vendor and payment management responsibilities.

  • Strong understanding of payment cycles, invoicing, and financial documentation.

  • Excellent organizational and time-management skills.

  • Strong communication and negotiation abilities.
