The US Operations/Administrative Executive is a pivotal role responsible for ensuring the smooth and efficient execution of both administrative and client-facing operational support functions for our US corporate clients and accounts. This position requires a proactive, detail-oriented professional with strong organizational and communication skills who can manage complex administrative tasks, maintain financial records, and provide seamless operational coordination.Key ResponsibilitiesAdministrative & Operations Management
Coordinate and oversee day-to-day office administration tasks, including office supplies, equipment, and facility maintenance.
Implement and refine operational processes to increase efficiency and compliance across various departments.
Coordinate calendars, meetings, appointments, and travel arrangements for executives and staff.
Handle front desk duties, including answering phone calls, responding to emails, and managing internal communications.
Maintain and update organized office records, reports, and internal databases, ensuring data accuracy and compliance.
Financial Administration
Assist in maintaining financial records, including processing invoices, and employee expense reports.
Support bookkeeping entries, bank reconciliations, and follow up on billing and payments with vendors and clients as needed.
HR and Compliance Support
Support HR functions with administrative tasks such as coordinating interview schedules, managing employee records, and assisting with onboarding processes for US-based staff.
Ensure adherence to company policies, security procedures, and legal compliance relevant to administrative operations.
Handle confidential information and documentation with the utmost professionalism and discretion.
Qualifications and SkillsRequired
Bachelor's degree in Business Administration, Finance, or a related field (or equivalent practical experience).
Proven experience (2+ years) in a demanding administrative, operations, or account support role.
Exceptional organizational skills, a high level of accuracy, and strong attention to detail.42
Strong communication and interpersonal skills, both written and verbal, for effective internal and external coordination.
Proficiency in GoogleSuite

Experience supporting a US-based team, particularly with US-specific administrative and financial compliance.
