Job Summary
We are looking for a proactive and responsible Admin Executive to oversee day-to-day administrative operations and ensure smooth office functioning. The ideal candidate should have strong vendor management skills, be comfortable coordinating transportation and facilities, and be willing to work flexible hours, including night shifts when required. Occasional field visits will also be part of the role.
Key Responsibilities
Manage daily administrative operations and office maintenance.
Coordinate with vendors for office supplies, facility management, housekeeping, security, and other administrative services.
Negotiate with vendors to ensure cost-effective procurement and timely service delivery.
Handle office assets, inventory, and stationery management.
Coordinate employee transportation, including cab arrangements for day and night shifts.
Ensure cab availability and resolve transportation-related issues promptly.
Supervise housekeeping, pantry, and office support staff.
Coordinate office repairs, maintenance, and utility services.
Maintain records of vendor contracts, invoices, and administrative expenses.
Support HR and management with administrative requirements and office events.
Be available for occasional field visits related to office administration, vendor coordination, or procurement.
Ensure compliance with company administrative policies and safety standards.
Requirements
Bachelor's degree in any discipline.
3–6 years of experience in Administration or Facility Management.
Strong experience in vendor management and coordination.
Experience in handling office transportation and cab operations is preferred.
Good negotiation and communication skills.
Proficient in MS Office (Excel, Word, Outlook).
Ability to multitask and work independently.
Willingness to work flexible schedules, including night shifts when required.
Comfortable with occasional field work.
Mature, responsible, and capable of handling administrative issues efficiently.
