Job Description

Role Summary:

We are seeking a proactive and detail-oriented Admin Executive responsible for ensuring smooth day-to-day office operations by managing administrative activities such as coordinating schedules, maintaining records, handling correspondence, and supporting various departments with their operational needs. This role involves overseeing office supplies, vendor management, facility maintenance, and ensuring compliance with company policies. The Admin Executive acts as a point of contact for employees, ensuring a well-organized, efficient, and professional work environment.

Key Responsibilities

·        ⁠Manage calendars, schedule meetings, and coordinate appointments.

·        ⁠Draft, review, and manage correspondence (emails, letters, reports, presentations).

·        ⁠Maintain and organize files, documents, and records (digital and physical).

·        ⁠Serve as the first point of contact for internal and external stakeholders.

·        ⁠Coordinate with different departments to ensure timely flow of information.

·        ⁠Organize travel arrangements (flights, hotels, itineraries, visas if applicable).

·        ⁠Ensure smooth execution of events, conferences, and meetings.

·        ⁠Handle sensitive information with absolute confidentiality.

·        ⁠Track deliverables and ensure deadlines are met.

·        ⁠Assist in managing budgets, expense reports, and vendor coordination.

·        ⁠Handle ad-hoc tasks and personal errands when required.

 

Skills & Qualifications

·        Bachelor’s degree (Business Administration/Management preferred).

·        ⁠1-3 years of experience as PA/EA or in a similar administrative role.

·        ⁠Good written and verbal communication skills.

·        ⁠Strong organizational, multitasking, and time-management abilities.

·        ⁠Proficient in MS Office (Word, Excel, PowerPoint, Outlook).

·        ⁠Discretion, integrity, and professionalism in handling confidential information.

·        ⁠Ability to work independently and proactively.
