Admin Executive – Roles & Responsibilities
1. Office Administration
Ensure smooth day-to-day office operations
Maintain office discipline and administrative systems
Manage office supplies, stationery, and consumables
Coordinate office layout, seating, and facilities
2. Facility & Asset Management
Oversee maintenance of office premises, utilities, and equipment
Maintain records of company assets and inventory
Coordinate with vendors for housekeeping, security, electrical, plumbing, etc.
Ensure compliance with safety and hygiene standards
3. Vendor & Contract Management
Identify, negotiate, and manage vendors and service providers
Process purchase orders and service agreements
Verify vendor bills and coordinate with accounts for payments
Monitor contract validity, renewals, and service quality
4. Travel & Logistics Support
Arrange employee travel, accommodation, and transport
Manage vehicle movement, driver schedules, and logbooks
Coordinate courier and dispatch services
5. Records & Documentation
Maintain administrative records, files, and registers
Handle inward and outward correspondence
Maintain statutory display notices and office registers
Ensure proper document storage and retrieval
6. HR & Employee Support
Support HR in onboarding and exit formalities
Coordinate ID cards, access cards, and office assets
Maintain attendance, leave, and visitor records (if assigned)
Address employee administrative queries
7. Compliance & Statutory Support
Assist in maintaining labor law and statutory documents
Coordinate inspections and audits related to administration
Ensure licenses, agreements, and certificates are valid and updated
8. Budget & Cost Control
Monitor administrative expenses and control costs
Prepare admin expense reports and MIS
Identify cost-saving opportunities
9. Security & Housekeeping
Supervise security staff and housekeeping personnel
Ensure visitor management procedures are followed
Monitor CCTV, access control, and emergency preparedness
10. General Coordination
Act as a point of contact for internal and external stakeholders
Coordinate meetings, events, and office functions
Perform any other administrative duties assigned by management
