We are looking for a Admin Executive to join our team AACPL to perform the following administrative tasks.:
1. Communication - answering & transferring of incoming telephone calls.
2. Greet Clients, Vendors and Sub-Consultants - and assit to ensure they are directed correctly.
Setting Appointments with Clients, Vendors, Sub-Consultants etc.
Organising Conference Room for meetings and arrangement of supporting data, supplies, beverages etc.
Oversee a tidy and presentable office maintenance and upkeep of the office environment.
Soft spoken, pleasant personality, professional attitude and expert in written & verbal communication.
Analyse best deals for supplies, products & travel and process orders/ bookings.
Knowledge of regular usage software such as MS Office with word, excel etc.
Internet Savvy.
Follow up with Clients, Vendors, Sub-Consultants as guided by the Team.
Bill payments such as phone, electricity, property tax, maintenance etc.
Maintain Records & Filing - Petty Cash Book, Cheque and GST and Bank Statements etc.
Keeping tab of Office Stationary supplies, Computer supplies, Pantry supplies and Toilet supplies etc.
Update calendars, schedule meetings, and arrange logistics, as required.
Organise folders, files, cabinets etc.
Keeping tab of AMC and dates of servicing for Computers, Plotters, RO, AC etc.
Organise Birthdays/ Celebrations for Team.
Assist with recruiting and fixing of interview processes.
Administrative support to HR activities, including on-boarding, employee files, and leave management.
Assist in organisation of Team Events for Recreation & Learning.
Perform administrative tasks like filing, photocopying, and maintaining office records.
