Position Overview:
The Receptionist will be responsible for managing front-desk operations, welcoming clients, handling inquiries, scheduling consultations, and supporting day-to-day administrative activities in an immigration office. The role requires strong communication, professionalism, confidentiality, basic documentation handling, and the ability to guide clients to the appropriate immigration consultant or case team without providing unauthorized legal or visa advice.
Roles and Responsibilities:
★ Greet walk-in clients, visitors, and candidates professionally, understand their purpose of visit, and direct them to the appropriate counselor, consultant, or internal team member.
★ Handle incoming phone calls, WhatsApp messages, emails, and basic inquiries related to appointments, services, document checklists, application status updates, and consultation availability.
★ Schedule, confirm, and manage client appointments for visa consultation, application review, document submission, follow-ups, and language coaching sessions.
★ Maintain front-desk records, visitor logs, inquiry forms, client details, appointment calendars, and daily administrative reports with accuracy and confidentiality.
★ Assist clients with basic document collection, scanning, printing, filing, photocopying, and organizing application-related paperwork as per internal office guidelines.
★ Coordinate with immigration counselors, filing officers, and operations staff to ensure smooth client flow, timely follow-ups, and proper handover of client information.
★ Maintain a clean, organized, and professional reception area while supporting office administration tasks such as courier coordination, payment follow-ups, stationery tracking, and general office support.
