Roles and Responsibilities of a Receptionist
A receptionist is the first point of contact for visitors and clients, responsible for creating a positive impression and ensuring smooth front-desk operations.
1. Front Desk Management
• Greet and welcome visitors in a professional and friendly manner
• Direct visitors to the appropriate person or department
• Maintain a clean and organized reception area
2. Communication Handling
• Answer, screen, and forward incoming phone calls
• Respond to emails and general inquiries promptly
• Provide accurate information about the organization’s services
3. Administrative Support
• Manage appointment scheduling and calendars
• Maintain records, files, and databases
• Handle incoming and outgoing mail and deliveries
4. Customer Service
• Assist clients and visitors with queries or concerns
• Ensure a high level of customer satisfaction
• Handle complaints politely and escalate when necessary
5. Office Coordination
• Coordinate with internal departments for smooth communication
• Monitor office supplies and place orders when needed
• Support basic office operations and clerical tasks
6. Security and Access Control
• Maintain visitor logs and issue visitor passes if required
• Ensure security procedures are followed at the front desk
