Job Description

Job Title: BACK OFFICE CUM Personal Secretary to Director

Location: Vadodara (Office – Race Course / Waghodia GIDC)
Industry: Medical Device / Pharma / Engineering Manufacturing


Job Summary:

We are looking for a smart, presentable, and highly organized BACK OFFICE CUM Personal Secretary to Director to provide administrative and coordination support. The candidate should be capable of handling confidential tasks, scheduling, and communication on behalf of the Director.


Key Responsibilities:

  • Manage Director’s schedule, meetings, and appointments

  • Handle emails, calls, and correspondence professionally

  • Prepare reports, presentations, and documents

  • Coordinate with internal departments and external parties

  • Maintain confidential records and important documents

  • Arrange meetings, travel plans, and follow-ups

  • Assist in day-to-day administrative and office work

  • Take meeting notes (MOM) and track action points

  • Ensure smooth communication between Director and team


Qualification:

  • Graduate / Post Graduate (Any Stream)

  • Preference: MBA / Office Administration / Secretarial Practice


Experience:

  • Minimum 2 to 5 years experience as Personal Secretary / Executive Assistant

  • Experience working with senior management / Director level preferred


Skills Required:

  • Excellent communication skills (English & Hindi)

  • Good computer knowledge (MS Office – Word, Excel, PowerPoint)

  • Strong organizational and multitasking ability

  • Professional attitude and confidentiality handling

  • Good coordination and follow-up skills


Other Requirements:

  • Candidate should be presentable and well-organized

  • Preference for candidates residing near Vadodara

  • Immediate joiners preferred


Salary:

  • Best in industry (based on experience and skills)
