Job Description

Front Desk Operations:

  • Greet and welcome patients warmly upon arrival.

  • Answer phone calls, emails, and messages promptly and courteously.

  • Schedule, confirm, and reschedule patient appointments using the clinic’s booking software.

  • Manage patient check-in and check-out procedures efficiently.

Patient Relations:

  • Provide information about dental services, procedures, and clinic policies.

  • Handle patient inquiries, concerns, and feedback in a professional and empathetic manner.

  • Collect and verify patient information and insurance details.

Administrative Duties:

  • Maintain accurate and organised patient records (digital and paper).

  • Process billing, payments, and receipts; handle daily cash balancing.

  • Liaise with dental assistants and dentists to ensure smooth patient flow.

  • Prepare daily reports, appointment lists, and other administrative documentation.

  • Ensure the reception area is clean, tidy, and presentable at all times.

Compliance & Confidentiality:

  • Adhere to all dental clinic policies, including privacy and patient confidentiality (HIPAA or local data protection laws).

  • Follow infection control and health & safety protocols.


Qualifications & Skills:

  • Education: High school diploma or equivalent (required); diploma in Office Administration, Healthcare Administration, or related field (preferred).

  • Experience: Minimum 1–2 years of experience as a receptionist, preferably in a dental or medical setting.

  • Technical Skills:

    • Proficiency in MS Office (Word, Excel, Outlook).

    • Experience with dental or medical software (e.g., Detriment, Open Dental, etc.) is an asset.

  • Soft Skills:

    • Excellent communication and interpersonal skills.

    • Strong organisational and multitasking abilities.

    • Professional appearance and demeanour.

    • Ability to remain calm and courteous under pressure.

    • Attention to detail and accuracy in record-keeping.


Working Conditions:

  • Standard clinic hours [insert days/hours].

  • May include occasional evening or weekend shifts.

  • Work is primarily in an office/reception setting within the dental clinic.
