JOB SUMMARY
We are looking for a proactive, organized, and strong-headed Personal Assistant to Senior Management to manage property supervision, staff coordination, attendance, housekeeping, driver/vehicle records, and required reports. The role includes regular property visits, maintaining trackers/checklists, school and health reporting, and blue-collar manpower coordination.
The candidate must be firm, responsible, observant, and capable of enforcing rules, taking corrective action, and ensuring smooth day-to-day operations with minimal supervision.
KEY RESPONSIBILITIES
Property Supervision: Regularly visit and monitor the Deodar Street and Tollygunge properties, including cleanliness, maintenance, and overall upkeep.
Staff Monitoring: Supervise Caretaker, Assistant Caretaker, HK, Drivers, and other support staff; monitor attendance, performance, discipline, and duty compliance.
Corrective Action: Ensure staff follow prescribed rules and responsibilities; take necessary corrective measures for negligence, indiscipline, or non-compliance and escalate serious matters to Senior Management.
Checklists & Reports: Maintain property, staff, housekeeping, attendance, and other required checklists and submit regular reports.
Driver & Vehicle Coordination: Coordinate with drivers, maintain attendance and duty records, and track vehicle mileage and usage.
Health & School Tracking: Maintain the required health tracker and prepare/maintain the school report and related updates for Senior Management
Manpower Recruitment: Coordinate with manpower consultancies for sourcing blue-collar staff, assist in selection, joining, and ensure proper induction.
General Coordination: Handle day-to-day administrative coordination and ensure instructions of Senior Management are implemented promptly and efficiently.
REQUIRED QUALIFICATION
Graduate in any discipline.
6 months– 2 years of relevant experience in Personal Assistant, Executive Assistant, Administration, Property/Facility Management, or a similar role.
Prior experience handling housekeeping, drivers, caretakers, or blue-collar staff will be preferred.
Proficiency in MS Excel, MS Word, WhatsApp, Email, and basic reporting/documentation.
