JOB DESCRIPTION – PERSONAL & EXECUTIVE ASSISTANT TO MD (HIGH OWNERSHIP ROLE)

Basic Details

Job Title: Personal & Executive Assistant to Managing Director
Department: Management / Administration
Location: Saroli, Surat
Working Hours: 11:00 AM to 9:00 PM
Salary: Depends on Interview & Experience

Job Purpose

Looking for a highly responsible Personal & Executive Assistant who can manage both personal and official responsibilities of the Managing Director with strong ownership, confidentiality, smart coordination, and execution capability.

Key Responsibilities

Personal Assistance

  • Manage personal schedule, appointments, and reminders

  • Handle wardrobe/clothing coordination, shopping requirements, and personal arrangements

  • Manage travel bookings, hotel reservations, and itinerary planning

  • Coordinate personal events, meetings, and important dates

  • Maintain personal files, documents, and confidential records

Executive Assistance

  • Manage MD’s calendar, meetings, and daily schedule

  • Handle calls, emails, and communication professionally

  • Coordinate with clients, vendors, and business partners

  • Prepare presentations, reports, Excel sheets, and MIS updates

  • Draft emails, letters, and business documents

Task Management & Follow-ups

  • Handle urgent and priority tasks assigned by MD

  • Follow up with departments for pending work completion

  • Ensure deadlines and commitments are properly tracked

  • Solve day-to-day operational coordination issues

Office & Business Coordination

  • Coordinate with HR, Accounts, Sales, Operations, and Admin teams

  • Manage documentation, approvals, and file systems

  • Assist in office operations and management support

Candidate Requirements

  • Female candidate preferred (if applicable as per company requirement)

  • Excellent communication and interpersonal skills

  • Smart, presentable, and professional personality

  • Strong ownership mindset and multitasking ability

  • Good knowledge of Excel, Word, Email, and documentation

  • High confidentiality and trustworthiness

  • Problem-solving and quick execution ability

Experience

  • 2+ years as Personal Assistant / Executive Assistant / Coordinator preferred
