Role Overview
The Personal Executive will operate as the Managing Directors extensionensuring her professional and personal life runs with clarity, speed, and precision. This role requires high proactiveness, strong communication skills, and the ability to anticipate needs before they arise.
Your core mission: Protect her time, streamline her day, and keep every moving part aligned.
Key Responsibilities
1. Calendar & Scheduling
Manage, update, and structure the MDs daily, weekly, and monthly schedule.
Plan meetings, shoots, reviews, travel, wellness routines, and personal commitments.
Send reminders and prepare quick context notes for each engagement.
Prevent conflicts and maintain a smooth daily flow.
2. Communication Management
Handle emails, messages, follow-ups, and stakeholder coordination on behalf of the MD.
Ensure no communication is missed and all threads stay active.
Represent the MD with clarity, confidentiality, and professionalism.
3. Task Tracking & Coordination
Maintain a task sheet for all ongoing responsibilities across teams.
Follow up until tasks, deliverables, and deadlines are completed.
Provide concise daily/weekly updates highlighting progress and pending items.
4. Personal Well-Being & Lifestyle Support
Coordinate wellness appointments, fitness routines, nutrition reminders, and personal errands.
Maintain a balanced schedule with appropriate breaks and buffers.
Handle travel, logistics, home coordination, and personal planning.
5. Administrative & Operational Support
Manage documentation, minutes, briefs, and sensitive information.
Coordinate legal, finance, and administrative tasks with relevant teams or partners.
Track renewals, bills, and key reminders that require MD attention.
6. Proactive Strategic Support
Anticipate needs, plan ahead, and resolve issues before they escalate
