Job Description

Position: Executive Assistant to CEO

Location: Umbergaon
Experience Required: 3–5 Years
Salary Range: ₹20,000 – ₹40,000 per month (based on capability)
Industry: Manufacturing / Engineering / Industrial


Role Overview

We are looking for a highly disciplined, execution-oriented Executive Assistant to the CEO who can ensure that tasks are completed, deadlines are met, and instructions are followed across the organization.

This is not a routine secretary role.
This position requires strong follow-up ability, high integrity, maturity, and the confidence to coordinate with senior employees and ensure work gets done.

The Executive Assistant will act as the CEO’s coordination arm, tracking all delegated tasks, managing communication, and ensuring execution across the company.


Core Responsibility – Getting Work Done

  • Maintain a daily delegation & follow-up tracker for the CEO

  • Assign tasks to employees on behalf of the CEO

  • Take deadline commitment from employees

  • Follow up until task completion

  • Escalate delays when required

  • Ensure no instruction is missed

This is the most important part of the job.


Key Responsibilities

1. Task Coordination & Follow-Up

  • Maintain a daily task sheet and track pending work to ensure completion within deadlines

  • Follow up with team members and report status to the CEO

2. Email & Communication Management

  • Handle CEO’s emails and draft replies

  • Send official communication

  • Handle calls forwarded by CEO

  • Communicate with staff, vendors, and clients

3. Calendar & Meeting Management

  • Manage appointments and schedule meetings

  • Prepare reminders and Minutes of Meetings

4. Department Coordination

  • Coordinate with Operations / Sales / Accounts / Admin

  • Ensure CEO’s instructions are executed

  • Follow up with senior staff when required


Additional Responsibility (Part of Role)

  • Booking tickets / appointments and coordinating personal work


Mandatory Skills

  • Excellent follow-up skills (very important)

  • Strong sense of responsibility

  • Honest and trustworthy

  • Good English communication

  • Good MS Excel & Word knowledge

  • Ability to handle pressure

  • Organized and detail-oriented


Preferred Skills

  • Experience as EA / Secretary / Coordinator

  • Experience working with senior management

  • Knowledge of Excel functions (VLOOKUP, Pivot, etc.)

  • Good internet research ability

  • Stable job history


Personality Required

  • Mature and disciplined

  • Firm but respectful

  • Reliable with high integrity

  • Non-reactive and able to work with senior staff
