Role Summary
The Office Coordinator keeps the head office running day to day. The role covers administration, communication and record-keeping, and links management, the outlets and the production facility so that information, supplies and paperwork move on time.
Key Responsibilities
Administration & Office Management
Manage daily office operations, including stationery, supplies, housekeeping and upkeep of office equipment.
Maintain organised physical and digital filing systems for company documents, contracts and records.
Coordinate with vendors and service providers (maintenance, courier, IT, utilities), and track their bills and payments.
Coordination Across Outlets & Production
Serve as the point of contact between management, the four retail outlets and the production facility.
Circulate instructions, notices and updates, and follow up to confirm they are carried out.
Track and consolidate daily or weekly reports from the outlets, such as sales summaries, stock requests and issues raised.
Scheduling & Communication
Manage calendars, meetings and appointments for management.
Prepare meeting agendas, take minutes and follow up on action points.
Handle incoming calls, emails and visitors professionally.
People & Records Support
Maintain employee attendance records and leave registers, and support the onboarding paperwork for new joiners.
Keep employee files and statutory documents up to date.
Coordinate staff logistics such as uniforms, ID cards and travel arrangements.
Accounts & Documentation Support
Record petty cash and office expenses, and submit bills to accounts on time.
Prepare letters, basic reports, purchase requests and internal memos.
Track licence and registration renewals, such as FSSAI, trade licence and fire NOC, and flag deadlines in advance.
