Position: Office Coordinator
Location: Hubballi–Dharwad, Karnataka (with coordination across state hubs)
Department: Administration / Operations
Reporting to: Branch/Regional Head


Role Overview:

The Office Coordinator will play a vital role in ensuring the smooth day-to-day functioning of the office. The role involves managing administrative tasks, coordinating with staff, maintaining records, and supporting management to drive efficient operations across Karnataka hubs.


Key Responsibilities:

1. Administrative Support

  • Manage day-to-day office operations including files, correspondence, and documentation.

  • Monitor and maintain office supplies and inventory.

  • Handle incoming calls, emails, and visitor management.

2. Coordination & Communication

  • Facilitate smooth communication between staff and management.

  • Schedule meetings, prepare agendas, and maintain minutes of meetings.

  • Act as a bridge between Karnataka hubs and the Head Office.

3. Documentation & Record Keeping

  • Maintain HR, Finance, and Operations records.

  • Prepare reports and ensure timely submission to management.

  • File and manage invoices, agreements, and office-related documents.

4. Management Support

  • Provide administrative assistance to the Branch/Regional Head.

  • Manage travel bookings, logistics, and office requirements.

  • Execute ad-hoc assignments and operational support tasks as required.


Key Skills & Competencies:

  • Strong communication skills (English, Hindi, Kannada preferred).

  • Excellent organizational and multitasking abilities.

  • Proficiency in MS Office (Word, Excel, PowerPoint, Email handling).

  • Problem-solving and time management skills.

  • Ability to work independently and within a team.


Qualifications & Experience:

  • Graduate degree in any stream (Bachelor’s degree required).

  • 1–3 years of experience in office coordination/administration (Freshers with strong skills are welcome).

  • Knowledge of Kannada language will be an added advantage.
