Job Description

  • An Office Coordinator manages day-to-day administrative operations, ensuring a functional and welcoming workspace. Key responsibilities include greeting visitors, managing office supplies, scheduling meetings, coordinating vendor services, and providing administrative support to staff. They are crucial for maintaining efficiency, fostering communication, and handling logistical tasks. Key Responsibilities Administrative Support: Manage correspondence (email, mail, phone), maintain digital and physical files, and assist with company announcements. Office Operations: Ensure the office is organized, tidy, and fully equipped by monitoring/restocking supplies and repairing equipment. Front Desk & Visitor Management: Greet and direct clients, visitors, or contractors, providing a welcoming environment. Scheduling & Coordination: Manage calendars, arrange meetings, coordinate company events, and handle travel arrangements. Vendor & Facility Management: Liaise with vendors, maintenance staff, and building management to resolve facility issues. Data & Expense Tracking: Perform basic bookkeeping, monitor office expenditures, and track inventory. Required Skills and Qualifications Organization & Time Management: Strong ability to prioritize tasks and meet deadlines. Communication Skills: Excellent verbal and written communication skills. Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software. Problem-Solving: Proactive, detail-oriented, and able to handle vendor or logistical issues. • Education/Experience: High school diploma required, with an associate's or bachelor’s degree preferred, along with previous experience in an administrative role.
