Job Summary

Legal Capital Law Firm is seeking a professional, organized, and customer-focused Front Office Executive to manage front desk operations and provide administrative support. The ideal candidate will be the first point of contact for clients, visitors, and business associates, ensuring a positive and professional experience while supporting the firm's daily administrative activities.

Key Responsibilities

  • Welcome clients, visitors, and guests in a courteous and professional manner.

  • Handle incoming phone calls, emails, and inquiries, directing them to the appropriate departments or personnel.

  • Schedule appointments, meetings, and conference room bookings.

  • Maintain visitor records and ensure proper office security procedures are followed.

  • Manage incoming and outgoing correspondence, courier services, and document deliveries.

  • Assist lawyers and administrative staff with filing, documentation, and clerical tasks.

  • Maintain office supplies inventory and coordinate procurement when necessary.

  • Ensure the reception area and meeting rooms are clean, organized, and presentable at all times.

  • Support client onboarding processes and maintain accurate records.

  • Coordinate with vendors and service providers as required.

  • Perform other administrative duties assigned by management.

Qualifications

  • Bachelor's degree or equivalent qualification.

  • 1–3 years of experience in front office, reception, or administrative roles (experience in a law firm is an advantage).

  • Excellent verbal and written communication skills.

  • Strong interpersonal and customer service abilities.

  • Proficiency in MS Office (Word, Excel, Outlook, and PowerPoint).

  • Good organizational and multitasking skills.

  • Professional appearance and demeanor.

  • Ability to maintain confidentiality and handle sensitive information.
