The Front Office Assistant is responsible for managing the front desk, greeting visitors, answering and directing phone calls, handling incoming and outgoing correspondence, and performing general administrative duties. This role supports the overall efficiency and professionalism of the organization’s front office.
Greet and assist visitors in a courteous and professional manner.
Answer, screen, and direct incoming phone calls promptly and accurately.
Handle incoming and outgoing mail, deliveries, and courier services.
Maintain a clean, organized, and welcoming front desk and reception area.
Manage appointment schedules and meeting room bookings.
Assist with administrative tasks such as data entry, filing, photocopying, and document preparation.
Maintain office supplies inventory and place orders as needed.
Coordinate with other departments to ensure smooth front office operations.
Handle basic inquiries and provide information to clients or guests.
Ensure visitor logs and security procedures are properly maintained.
High school diploma or equivalent; additional qualifications in office administration are a plus.
Proven experience as a front desk representative or similar role.
Proficient in MS Office (Word, Excel, Outlook).
Strong verbal and written communication skills.
Excellent interpersonal and customer service skills.
Ability to multitask and manage time effectively.
